Job Summary

The HR Coordinator – Onboarding is responsible for managing the end-to-end onboarding process for new employees, ensuring a smooth transition from offer acceptance to arrival and joining. This role coordinates visa processing, documentation, travel, and accommodation while maintaining effective communication with candidates, HR, and external agencies.

Key Responsibilities

  • Coordinate onboarding activities from offer acceptance to joining
  • Follow up on candidate documentation (passport, certificates, attestation, etc.)
  • Track visa processing status and ensure timely issuance
  • Coordinate travel arrangements including flight bookings and arrival schedules
  • Arrange accommodation and ensure readiness prior to employee arrival
  • Maintain onboarding trackers and ensure data accuracy (visa, arrival, joining status)
  • Liaise with recruitment agencies and government relations team for visa and documentation matters
  • Communicate regularly with candidates, providing updates on onboarding progress
  • Support joining formalities such as contract signing, HR documentation, and system updates
  • Coordinate airport pickup and site arrival arrangements
  • Escalate delays or non-responsive candidates to HR leadership

Qualifications

  • Bachelor's degree in Human Resources, Business Administration, or related field
  • 1 year of HR experience, preferably in onboarding or recruitment coordination
  • Experience handling visa processes, onboarding, or international hiring (preferred)
  • Strong knowledge of MS Office (Excel, Word, Outlook)
