Job Description

Position Overview

We are seeking an experienced and well-organized HR Coordinator with exposure to the Real Estate and Construction industry to manage end-to-end recruitment and support day-to-day HR operations. The role involves close coordination with management, PRO, insurance providers, finance, and site teams to ensure smooth HR processes, legal compliance, and employee satisfaction across the organization.

Key Roles & Responsibilities

1. Recruitment & Manpower Planning

  • Handle end-to-end recruitment for Real Estate and Construction roles including Sales Manager, Telesales, CRM Executives, Property Consultants, Site Engineers, Supervisors, Foremen, Admin, Marketing, and Support Staff.
  • Coordinate with department heads and project teams on manpower planning, job descriptions, and hiring timelines.
  • Source candidates through job portals, referrals, social media, and recruitment agencies.
  • Conduct initial screening interviews and coordinate technical and final interviews.
  • Maintain recruitment trackers, candidate databases, and hiring reports.
  • Prepare and issue offer letters, appointment letters, and follow up on joining confirmations.

2. On boarding & Employee Lifecycle Management

  • Manage the complete on boarding process including document verification, background checks (if applicable), joining formalities, and induction programs.
  • Ensure completion of HR documentation such as employment contracts, NDA, policy acknowledgments, and personal data forms.
  • Coordinate workstation allocation, system access, email ID, and ID card issuance with Admin/IT teams.
  • Track probation periods and coordinate confirmation and extension letters.

3. Off boarding & Exit Management

  • Process employee resignations and terminations in line with UAE Labor Law and company policies.
  • Coordinate clearance procedures, asset handover, access deactivation, and exit interviews.
  • Prepare off boarding documentation including experience letters, NOCs, and final settlement coordination.
  • Ensure timely visa cancellation and insurance removal.

4. Insurance & Employee Benefits

  • Coordinate medical insurance on boarding, renewals, additions, deletions, and upgrades.
  • Assist employees with insurance claims, queries, and policy clarifications.
  • Maintain accurate insurance records and ensure compliance with UAE regulations.
  • Support employee welfare and benefits administration.

5. HR Operations & Compliance

  • Maintain accurate, confidential employee records (physical and digital).
  • Ensure compliance with UAE Labor Law, company policies, and HR best practices.
  • Support implementation and communication of HR policies and procedures.
  • Handle employee grievances and escalate issues appropriately.
  • Assist in HR audits, internal reviews, and management reporting.

6. Visa, PRO & Government Relations

  • Coordinate with PRO and government authorities for employment visas, renewals, amendments, Emirates ID, labor contracts, and cancellations.
  • Track visa expiry dates and proactively initiate renewals for office staff and site employees.
  • Ensure all immigration documentation is accurate and submitted within defined timelines.
  • Act as the main point of contact between employees, management, and PRO for visa-related matters.

7. Payroll & Attendance Support

  • Assist in monthly payroll processing by coordinating attendance, leave, overtime, incentives, commissions, and deductions (office & site staff).
  • Verify payroll inputs for accuracy and compliance.
  • Coordinate with Accounts/Finance for salary processing, WPS compliance, and payroll queries.
  • Support gratuity calculations and final settlement preparation.

8. Performance Management & Employee Engagement

  • Coordinate performance appraisal cycles and maintain appraisal documentation.
  • Track KPIs, confirmations, increment letters, and promotions as approved by management.
  • Support employee engagement initiatives, training sessions, events, and team activities.
  • Assist in maintaining a positive and compliant workplace culture.

9. Training & Development Support

  • Coordinate internal and external training programs for sales, CRM, technical, and site teams.
  • Maintain training records, attendance sheets, and feedback reports.
  • Support on boarding and induction training programs.

Qualifications & Experience

Education

  • Bachelor's degree in HR, Business Administration, or a related field.

Experience

  • 13 years of UAE experience as an HR Coordinator or HR Executive.
  • Mandatory experience in Real Estate and/or Construction industry.
  • Hands-on exposure to recruitment, on boarding, visa coordination, payroll support, and HR operations.
  • Strong understanding of UAE Labor Law, visa processes, and HR compliance.

  • Proficiency in MS Office, HRMS, and CRM systems.
  • Ability to work independently and under pressure in a fast-paced Real Estate & Construction environment.
