Job Description

My client is a Medical Devices Manufacturing Company, they are one of Singapore's top contract manufacturers based in Singapore, Malaysia and China.

Duties of HR & Administration Executive:

  • Prepare job descriptions and liaise with recruitment agencies for job advertisements.
  • Manage recruitment and selection for temporary, contract, and non-exempt positions, and coordinate manpower requirements with operations.
  • Prepare appointment letters, arrange pre-employment health screenings, and maintain new employee records.
  • Issue and maintain locker keys, safety apparel, and prepare employment certification letters.
  • Process employee resignations, conduct exit interviews, liaise with Accounts on final salary payments, and ensure company property is returned.
  • Prepare Work Permit cancellation documents and handle Work Permit/Employment Pass applications for foreign employees.
  • Liaise with employees to support welfare initiatives, address feedback, and recommend improvements.
  • Coordinate training administration, including course registration, payment, confirmation, and SDF claims.
  • Conduct new hire orientation and administer performance appraisals for confirmation and annual reviews.
  • Process monthly payroll, administer leave, and prepare payslips and management reports.
  • Maintain HR records, filing systems, ISO 9001 & ISO 13485 documentation, SOPs, and organization charts.
  • Perform general administrative duties, including reception, filing, stationery management, and purchase requisitions.

Requirements:

  • Diploma in Human Resource Management, Business Administration, or a related discipline.
  • Minimum 2-3 years of HR Generalist experience with hands-on payroll and recruitment experience.
  • Prior HR experience in a manufacturing environment is required.
  • Experience managing a large workforce (800-1,000 employees).
  • Familiar with Singapore payroll processes and MOM regulations.
  • Proficient in Microsoft Office and HR/payroll systems.
  • Able to work on-site and support payroll processing on weekdays when salary payout dates fall on weekends or public holidays.
  • Meticulous, organized, and able to work independently in a fast-paced environment.
