Role Purpose
The HR Operations Coordinator will play a central role in ensuring the smooth day-to-day running of Ektis's HR function as the firm continues to scale rapidly across the region. This is a hands-on role for someone who is organised, dependable, and people-focused - someone who takes pride in getting the details right and making things work reliably behind the scenes.
Based in Riyadh and fluent in Arabic, the successful candidate will support the HR lead in managing day-to-day HR operations, help ensure compliance with Saudi labour regulations, and provide a reliable point of support for employee queries. They will work closely with the broader HR and Operations team to support the full employee lifecycle, from onboarding through to offboarding, and help build the systems and habits that allow Ektis to operate with consistency and care as we grow.
Key Responsibilities
Employee Lifecycle & Administration
- Coordinate end-to-end onboarding for new joiners, including offer documentation, system setup, induction scheduling, and first-day readiness
- Maintain accurate and up-to-date employee records across all HR systems and physical files
- Process offboarding procedures including exit documentation, clearance coordination, and system deactivation
- Manage employment contract generation, renewals, and amendments in line with firm standards and KSA labour law
- Support visa, Iqama, and work permit processing and renewals in coordination with PRO teams
HR Operations & Compliance
- Ensure HR processes and documentation remain compliant with Saudi Labour Law and relevant regulatory requirements
- Maintain and update HR trackers, dashboards, and records to support reporting and decision-making
- Support payroll inputs including attendance, leave balances, and employee changes, coordinating with Finance as needed
- Manage leave administration, tracking, and reconciliation in Riyadh
- Liaise with PRO teams to support government-related HR requirements, including Iqama renewals, visa processing, and regulatory filings
Employee Experience & Support
- Serve as a supporting point of contact for employee HR queries in Riyadh, responding promptly and professionally in both Arabic and English, and escalating to the HR lead as appropriate
- Flag employee concerns or recurring issues to the HR lead for timely resolution
HR Systems & Reporting
- Maintain HR data integrity across relevant platforms and tools
- Produce regular HR reports and data summaries as required by the team and leadership
- Identify opportunities to improve existing HR processes and ways of working for greater efficiency and consistency
Skills, Experience & Qualifications
- 1–2 years of HR operations or HR administration experience, ideally within a professional services, consulting, or fast-growing corporate environment
- Native or fluent Arabic speaker with strong written and spoken English
- Working knowledge of Saudi Labour Law and Iqama/visa processes; familiarity with government HR portals (Mudad, Qiwa, GOSI) is an advantage
- Strong organisational skills with a high level of accuracy and attention to detail
- Comfortable managing multiple tasks simultaneously and meeting deadlines in a fast-paced environment
- Approachable, discreet, and professional in handling sensitive employee matters
