Document Controller (HSE)

YOUR ROLE
As our Document Controller (HSE), you will
Document Control & Records Management
- Maintain HSE document control systems (electronic and hardcopy) in compliance with project, client, and ISO requirements.
- Log, track, issue, retrieve, and archive HSE documents including: Risk Assessments, Incident Reports, Safety Plans, Audit Reports, Toolbox Talks, Permit to Work (PTW) Records, Material Safety Data Sheets (MSDS)
- Ensure only the latest approved revisions are available for use and obsolete documents are removed from circulation.
Version & Revision Control
- Manage document revision status and distribution records.
- Maintain document registers and revision histories.
- Archive superseded documents in accordance with company retention policies.
Compliance & Audit Support
- Support internal, client, and external audits by providing accurate and up-to-date HSE records.
- Assist with HSE audit preparation, NCR tracking, corrective action follow-up, and document retrieval.
Permit & Regulatory Documentation
- Maintain permits, licenses, and regulatory compliance records related to health, safety, and environmental activities.
- Ensure documentation complies with UAE regulations and client requirements such as ADNOC, ARAMCO, and other major operators.
Training & Certification Records
- Maintain employee HSE training matrices and competency records.
- Track certifications and expiry dates for: HSE Inductions, First Aid, Firefighting, Confined Space Entry, Scaffolding Safety, Other mandatory training requirements
Distribution & Communication
- Distribute safety bulletins, procedures, alerts, and communications to relevant stakeholders.
- Maintain correspondence logs for HSE-related letters, emails, and memos.
- Ensure document acknowledgements are obtained and recorded.
Systems & Reporting
- Update and maintain records within systems such as: Aconex, EDMS, SharePoint, Other project-specific document management platforms
- Generate weekly and monthly reports on document status, approvals, compliance gaps, and outstanding actions.
WHAT WE'RE LOOKING FOR
Education / Certifications / Licenses
- Diploma or Bachelor's Degree in Administration, Engineering, HSE, or a related discipline
Experience
- Minimum 3-5 years experience in Document Control
- At least 2 years experience supporting HSE functions within Oil & Gas or EPC projects
Skills and Competencies
- Strong knowledge of document management systems, revision control, and records management practices
- Familiarity with UAE HSE regulations and major client standards (ADNOC, ARAMCO, etc.)
- Excellent organizational, communication, and reporting skills
