Job Description

Job Summary


The HSE Systems Coordinator supports effective operation, governance, and continuous improvement of HSE systems, data, and reporting processes across construction projects. The role ensures accurate maintenance of HSE information, supports compliance and audit requirements, coordinates training and incident data, and monitors HSE performance through structured systems and reporting. This position is applicable to both civil and oil & gas construction environments.


Key Accountabilities


HSE Systems Administration & Data Management




  • Administer and maintain HSE Information Management Systems and related digital platforms.




  • Perform data entry, validation, and maintenance of HSE records including incidents, audits, inspections, training, and corrective actions.




  • Ensure accuracy, consistency, and integrity of HSE data across systems.




  • Maintain document control, version management, and system records in line with approved procedures.




Documentation & Record Control




  • Maintain up-to-date HSE documentation including policies, procedures, manuals, incident reports, audit reports, and training records.




  • Organize and manage physical and electronic HSE filing systems.




  • Support preparation and submission of HSE documentation and reports to management and relevant authorities as required.




  • Support development and maintenance of HSE procedures related to occupational health, workplace safety, environmental protection, and emergency preparedness.




Compliance, Audits & Certification Support




  • Support internal and external HSE audits and inspections through accurate system data and documentation.




  • Track regulatory and standard requirements and support their integration into HSE systems and SOPs.




  • Track corrective and preventive actions arising from audits, inspections, and reviews and ensure timely follow-up.




  • Support ISO, ADOSH, and other applicable HSE certification processes through system readiness and documentation control.




Training Systems & Competency Records




  • Maintain HSE training matrices and competency records within HSE systems.




  • Coordinate updates to training completion and certification records.




  • Support development and distribution of HSE training materials and awareness communications.




  • Track validity and renewal of HSE-related training and certifications.




Incident Data & Reporting




  • Collect, review, and record incident, accident, and near-miss data from projects and workplaces.




  • Validate incident data and compile inputs for periodic HSE reports.




  • Maintain incident logs and ensure investigation actions are tracked and closed within the system.




HSE Performance Monitoring & Reporting




  • Prepare and maintain HSE KPIs within reporting systems.




  • Monitor effectiveness of HSE programs using system data and performance indicators.




  • Generate consolidated monthly and quarterly HSE performance reports for management review.




Coordination & Administrative Support




  • Provide system-related support to HSE teams and users.




  • Support scheduling of HSE meetings and preparation of agendas and minutes, including corporate HSE committee meetings.




  • Assist with procurement tracking for HSE equipment, supplies, and services within systems.




  • Perform other HSE systems-related duties as assigned by the Group HSE Manager.




Required Qualifications & Competencies




  • High School education completed, Bachelor's degree in Occupational Safety & Health, Administration, or a related field preferred.




  • NEBOSH International General Certificate in OHS (or NVQ Level 3 equivalent) – mandatory.




  • ISO 45001 awareness training certificate preferred.




  • Minimum 3 years of experience in HSE administration, systems, or coordination role within construction or industrial environments.




  • Strong proficiency in Microsoft Office Suite and HSE information systems.




  • Good understanding of HSE documentation, reporting, and compliance processes.




  • High attention to detail, data accuracy, and record management.




  • Strong communication and interpersonal skills with proficiency in English.




  • High level of discretion in handling sensitive and confidential information.
