Job Description

Job Summary:

We are looking for an organized and detail-oriented Administrative Assistant to join our Human Resources department. The ideal candidate will be responsible for providing administrative support to the HR team and assisting with daily operations to ensure the smooth and efficient functioning of the department.

Key Responsibilities:

  • Assist with the recruitment process, including posting job openings, scheduling interviews, and communicating with candidates.
  • Prepare and process new hire and existing employee documentation, and maintain and update employee records regularly.
  • Respond to employee inquiries regarding HR-related matters, such as leave, payroll, and benefits.
  • Contribute to the organization of employee events and training programs.
  • Prepare HR-related reports and documents as needed.
  • Perform general administrative tasks such as file management, answering phone calls, and organizing meetings.

Qualifications and Requirements:

  • A diploma or bachelor's degree in Business Administration, Human Resources, or a related field.
  • Previous experience in an administrative role or in Human Resources is preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent communication skills (both verbal and written).
  • Strong organizational, time-management, and detail-oriented skills.
  • Ability to handle confidential information with professionalism and discretion.
Job Requirements

Educational and Experience Qualifications:

  • Education:A minimum of a diploma is required; a Bachelor's degree in Human Resources, Business Administration, or a related field is preferred.
  • Experience:At least 1-2 years of experience in an administrative role or within an HR environment. (The number of years can be adjusted based on the seniority of the role).
  • Recruitment Experience:Prior experience assisting with recruitment processes, such as scheduling interviews and communicating with candidates, is a plus.

Technical Skills:

  • Office Suite Proficiency:Full proficiency in the Microsoft Office Suite, especially Excel (for data management), Word (for document preparation), and Outlook (for calendar management and correspondence).
  • HRIS Knowledge:Practical experience with a Human Resources Information System (e.g., Workday, BambooHR, Oracle) is highly desirable.
  • Typing Speed:Fast and accurate typing skills for efficient data entry.

Personal and Behavioral Skills:

  • Organization and Accuracy:Strong organizational skills with a keen eye for detail to ensure the accuracy of employee records and documents.
  • Time Management:The ability to manage multiple tasks and prioritize effectively to meet deadlines in a dynamic work environment.
  • Effective Communication:Excellent written and verbal communication skills to interact professionally with employees at all levels.
  • Confidentiality and Reliability:The ability to handle sensitive and confidential information with the highest level of integrity and discretion.
  • Problem-Solving Ability:A proactive approach to identifying and resolving minor administrative issues effectively.
  • Teamwork:The ability to work well within a team and support members of the HR department.

Languages:

  • Fluency in both Arabic and English (reading, writing, and speaking)
