Job Description

Role Overview :

The HR Executive manages daily administrative operations and provides essential support to the HR department. Key responsibilities include supervising admin staff, maintaining office facilities, coordinating staff travel and visas, and handling employee ID cards and airport permits. The role also supports core HR functions such as payroll, recruitment coordination, employee documentation, visa processing, insurance, and onboarding/offboarding. The HR Executive serves as a primary contact for employee queries and helps maintain accurate, compliant HR records and processes.

Job Responsibilities:

•Process monthly payroll and employee final settlements

• Handle additions and deductions such as allowances, bonuses, penalties, and ticket allowances

• Manage Edenred tasks including salary transfers and employee additions/deletions

• Manage GPSSA payments and follow up with contributions

• Review and share monthly invoices with Finance (ATI)

• Maintain and organize employee files, trackers and shared HR documents

• Prepare monthly HR FT reports and other required HR reports

• Ensure HR processes, policies, and systems are followed in all activities

• Conduct CV screening, interview screenings, and initial candidate assessments

• Prepare and issue offer letters, welcome letters, announcements, and memos

• Assist with onboarding including orientations, arranging meetings, access creation, devices, and required documents

• Coordinate and manage staff passes for DXB and AUH offices, including applications, renewals, and cancellations

• Receive and handle employee complaints, suggestions, and queries in a timely manner

• Manage employee recognition, reward, and engagement activities

• Responsible for the monthly preparation of birthday announcements

• Handle visa processes including applying for employment visas, work permits, renewals, and cancellations

• Provide documentation support for business travel and arrange flights, accommodation, visas, and travel insurance

• Manage the Smart Traveler program including list updates, onboarding/offboarding, and point distribution

• Manage medical insurance including additions, deletions, and annual renewals

• Coordinate with operations teams and other departments for smooth workflow on HR-related activities

• Issue employee letters including employment certificates, NOCs, and salary-related documents

• Manage clearance processes and offboarding for leavers

• Coordinate submission of monthly time & attendance records for office and operation employees.

• Supervise and support daily operational workflow as required

• Any other duties as requested by the HR Manager or HR Director

Required Qualifications & Experience:

• Degree holder or above in Business Administration, Human Resources related disciplines

• Minimum 3 years of relevant work experience

• Business-oriented, result driven and attention to details

• Excellent interpersonal, communication and presentation skills with an analytical and problem-solving mindset

• Independent, a self-motivated team player, with strong sense of responsibility

• Good leadership skills with the ability to handle multiple tasks and deliver good quality of work

• Computer literacy in MS applications.

• Good command in written and spoken English.
