Job Description

Secret Gardens LLC is looking for a Junior Project Coordinator for our high-end, design-oriented landscaping and pool company to work alongside our experienced team of architects, engineers, and construction professionals. The ideal candidate should be a graduate of Civil Engineering and possess strong organizational and communication skills. Requirements

Office Responsibilities

  • Assist in reviewing Contracts, Designs/Specifications, Drawings, Budgets, and Timelines to support project execution.
  • Support the approvals and inspections process with the Approvals Department.
  • Assist in client communication when required and under supervision of the PM.
  • Report any issues or misalignments to PM / MP / DSM / OM.
  • Support in organizing and attending Kick-Off Meetings prior to project mobilization.
  • Prepare and update site reports for internal records.
  • Maintain project documentation and ensure proper filing of all project-related documents.

Site Responsibilities
  • Assist the site team in coordinating daily project activities.
  • Follow up on approvals of drawings, materials, and specifications.
  • Monitor site progress and update the PM on status.
  • Support in identifying potential delays or issues and escalate to PM.
  • Assist in preparing Cost to Complete and basic project tracking reports.
  • Attend site visits when required to monitor quality, safety, and manpower distribution.
  • Assist in preparing Minutes of Meeting (MOM) and submitting to the client after approval.
  • Support in preparation and submission of variations as directed by management.
  • Coordinate with Finance team for payment follow-ups under PM guidance.

Requirements
  • Graduate of Civil Engineering
  • Strong organizational and time management skills/
  • Excellent communication skills, both written and verbal
  • Ability to work in both office and site environments
  • Detail-oriented and proactive in identifying and solving issues
  • Basic knowledge of project documentation, contracts, and cost tracking
  • Ability to coordinate with multiple teams and follow up on approvals, materials, and timelines
