Job Description

As a Leasing Admin Lead, you will oversee and manage all aspects of lease agreements, ensuring accuracy, compliance, and timely execution of lease-related activities. This role requires a strong background in contracts management and exceptional proficiency in Microsoft Excel for data analysis, tracking, and reporting.

You will serve as a key link between the leasing, finance, and legal departments to ensure smooth lease operations and accurate documentation across all properties.

Your responsibilities will encompass the following key areas:

Lease Management & Documentation:

  • Manage and maintain all lease agreements, amendments, renewals, and terminations.
  • Ensure lease data accuracy and completeness across internal systems and databases.
  • Prepare, review, and verify lease abstracts and financial terms for accuracy.
  • Maintain digital and physical records in compliance with company policies.

Contracts Administration:

  • Review lease and contract terms to ensure compliance with company standards and legal requirements.
  • Liaise with legal and commercial teams to resolve discrepancies or ambiguities in contracts.
  • Track critical lease dates (renewals, expirations, escalations) and coordinate timely actions.

Financial Analysis & Reporting:

  • Prepare lease-related financial reports, payment schedules, and reconciliations.
  • Use advanced Excel functions to analyze lease data, forecast costs, and identify savings opportunities.
  • Support the finance team in month-end and year-end closing activities related to leasing.

Cross-Functional Coordination:

  • Collaborate with leasing, property management, and finance teams to ensure proper communication of lease obligations.
  • Coordinate with tenants, landlords, and internal stakeholders to address lease-related inquiries.
  • Support system implementation and process improvement initiatives to enhance data accuracy and workflow efficiency.

Team Leadership & Development:

  • Supervise and guide the lease admin team to ensure timely and high-quality deliverables.
  • Provide training and mentorship on lease processes, documentation, and reporting standards.
  • Promote a culture of accountability, attention to detail, and continuous improvement.

To excel in this role, candidates should possess the following qualifications and attributes:

  • Bachelor's degree in Business Administration, Accounting, or a related field.
  • +5 years of experience in lease admin or contracts management, preferably within real estate or mall operations.
  • Strong understanding of lease structures, legal terms, and financial implications.
  • Excellent proficiency in Microsoft Excel (pivot tables, lookups, dashboards, and financial modeling).
  • Familiarity with ERP or lease management systems (SAP, Oracle, Yardi, or similar) is a plus.
  • Exceptional attention to detail and strong analytical skills.
  • Excellent communication and interpersonal abilities.
  • Fluent in English; Arabic is an advantage.
