As a Leasing Admin Lead, you will oversee and manage all aspects of lease agreements, ensuring accuracy, compliance, and timely execution of lease-related activities. This role requires a strong background in contracts management and exceptional proficiency in Microsoft Excel for data analysis, tracking, and reporting.
You will serve as a key link between the leasing, finance, and legal departments to ensure smooth lease operations and accurate documentation across all properties.
Your responsibilities will encompass the following key areas:
Lease Management & Documentation:
- Manage and maintain all lease agreements, amendments, renewals, and terminations.
- Ensure lease data accuracy and completeness across internal systems and databases.
- Prepare, review, and verify lease abstracts and financial terms for accuracy.
- Maintain digital and physical records in compliance with company policies.
Contracts Administration:
- Review lease and contract terms to ensure compliance with company standards and legal requirements.
- Liaise with legal and commercial teams to resolve discrepancies or ambiguities in contracts.
- Track critical lease dates (renewals, expirations, escalations) and coordinate timely actions.
Financial Analysis & Reporting:
- Prepare lease-related financial reports, payment schedules, and reconciliations.
- Use advanced Excel functions to analyze lease data, forecast costs, and identify savings opportunities.
- Support the finance team in month-end and year-end closing activities related to leasing.
Cross-Functional Coordination:
- Collaborate with leasing, property management, and finance teams to ensure proper communication of lease obligations.
- Coordinate with tenants, landlords, and internal stakeholders to address lease-related inquiries.
- Support system implementation and process improvement initiatives to enhance data accuracy and workflow efficiency.
Team Leadership & Development:
- Supervise and guide the lease admin team to ensure timely and high-quality deliverables.
- Provide training and mentorship on lease processes, documentation, and reporting standards.
- Promote a culture of accountability, attention to detail, and continuous improvement.
To excel in this role, candidates should possess the following qualifications and attributes:
- Bachelor's degree in Business Administration, Accounting, or a related field.
- +5 years of experience in lease admin or contracts management, preferably within real estate or mall operations.
- Strong understanding of lease structures, legal terms, and financial implications.
- Excellent proficiency in Microsoft Excel (pivot tables, lookups, dashboards, and financial modeling).
- Familiarity with ERP or lease management systems (SAP, Oracle, Yardi, or similar) is a plus.
- Exceptional attention to detail and strong analytical skills.
- Excellent communication and interpersonal abilities.
- Fluent in English; Arabic is an advantage.
