Job Description

We are seeking a Legal Administrator to join our Legal Department to provide comprehensive administrative, operational, and coordination support to the Legal Department, ensuring effective management of legal documentation, contracts, compliance processes, and stakeholder requests. The role will manage the Legal Intake System (LIS), support execution workflows including CAS and signatures, and ensure adherence to Delegation of Authority (DoA), governance, and records management standards. The role will also maintain confidentiality, accuracy, and integrity of legal records, ensuring only legally approved documents are issued externally.

KEY ACCOUNTABILITIES

  • Manage and maintain legal documentation, contracts, agreements, and corporate records in a secure and organized manner.
  • Ensure accurate filing, indexing, retrieval, and retention of legal documents across physical and digital repositories.
  • Maintain document repositories and ensure compliance with document taxonomy and data retention requirements.
  • Manage the legal template library and support controlled access through established processes.
  • Support document formatting, compilation, and quality control, ensuring accuracy of final legal documents and execution packs.
  • Operate the Legal Intake System (LIS), including triaging requests, assigning matters, updating statuses, and maintaining accurate records.
  • Monitor intake workflows, resolve system issues, and support reporting on service levels and legal request activity.
  • Coordinate contracts, NDAs, MoUs, and other legal documents, including approvals, signatures, and execution processes.
  • Act as the CAS stage gatekeeper, ensuring document integrity and compliance with Delegation of Authority (DoA) requirements.
  • Coordinate with internal stakeholders, external counsel, regulators, and vendors to facilitate timely completion of legal activities.
  • Support corporate governance activities, including board resolutions, licenses, registrations, and statutory filings.
  • Monitor compliance deadlines, obligations, and legal requirements while proactively escalating potential risks.
  • Support the implementation of legal policies, procedures, systems, and process improvements to enhance operational efficiency.
  • Prepare reports, dashboards, and trackers related to legal matters, contracts, compliance activities, and expenses.
  • Contribute to continuous improvement initiatives and undertake additional responsibilities to support the Legal function's objectives.

QUALIFICATIONS & COMPETENCIES

  • Bachelor's degree in Law, Business Administration, or a related field; paralegal or legal administration qualification is an advantage.
  • 3–6 years of experience in legal administration, corporate legal support, or a similar role, preferably within corporate, infrastructure, or regulated industries.
  • Strong knowledge of contract administration, legal documentation management, and corporate governance processes.
  • Experience with document management systems, legal databases, and MS Office applications (Word, Excel, PowerPoint, and Outlook).
  • Strong organizational skills with high attention to detail, accuracy, and ability to manage multiple priorities effectively.
  • Excellent communication, stakeholder coordination, and problem-solving skills while maintaining confidentiality and professional integrity.
  • Demonstrates accountability, ownership, process orientation, adaptability, and a strong customer/stakeholder focus.
  • Ability to support continuous improvement initiatives and contribute to efficient legal operations.
