Job Description

Job Purpose

  • Provide group-wide legal and corporate administration support across Aldar Estates holding company, subsidiaries, and business brands.
  • Manage corporate housekeeping and document management, including constitutional documents, powers of attorney, corporate approvals, and supporting records.
  • Act as the first point of contact for routine legal and administrative queries, providing template-based support and assisting lawyers with research and document preparation.
  • Escalate any non-standard, complex, contentious, regulatory, or high-risk matters to senior legal team members.

Roles & Responsibilities

  • Support the Group Legal Team with matter intake, document preparation, correspondence, filing, execution support, status tracking, and follow-ups.
  • Prepare and update constitutional documents, shareholder resolutions, board resolutions, notices, declarations, NOCs, and other routine corporate documents.
  • Maintain a central repository of corporate records, including incorporation documents, licenses, registrations, shareholder records, and resolutions.
  • Draft, amend, renew, and revoke powers of attorney and maintain the POA register.
  • Monitor expiry dates and corporate actions, ensuring timely renewals and updates.
  • Coordinate notarization, attestation, legalization, translation, and related formalities with relevant authorities and service providers.
  • Support corporate actions such as company incorporations, amendments, share transfers, branch registrations, and liquidations.
  • Assist the General Counsel and Company Secretary with company secretarial administration.
  • Respond to routine legal and corporate administration queries within approved guidelines.
  • Prepare standard legal documents, including NDAs, letters, confirmations, and acknowledgements.
  • Coordinate document execution and electronic signature processes.
  • Support KYC, banking, tender, and due diligence requests by providing approved corporate documentation.
  • Liaise with internal stakeholders to obtain required information and maintain records of legal requests and actions.
  • Conduct basic legal and corporate research and prepare summaries for lawyer review.
  • Maintain legal templates, registers, trackers, and document management systems.
  • Perform other legal and administrative duties as required.

Health, Safety & Environment Responsibilities

  • Comply with all Aldar Estates HSE policies, procedures, and legal requirements.
  • Stay updated on HSE policy changes and ensure ongoing compliance.

Information Security Responsibilities

  • Adhere to Aldar Estates Information Security Policies.
  • Complete and comply with information security requirements and training.
  • Report security incidents when required.
  • Protect company systems, accounts, passwords, and confidential information.
  • Maintain accountability for user account security.

Qualifications

  • Bachelor's Degree in Law (LLB) or equivalent legal qualification preferred.
  • Paralegal, legal administration, or company secretarial qualification is advantageous.
  • Lawyer qualification is not required.

Experience

  • Minimum 2 years of experience in a paralegal, legal administration, corporate secretarial, or legal support role.
  • Experience preparing and managing corporate documents, powers of attorney, corporate resolutions, and related records.
  • Strong preference for UAE corporate administration experience, including notarization, attestation, and government/free-zone processes.
  • Experience supporting multi-entity organizations and maintaining corporate registers is advantageous.
  • Familiarity with ADGM, UAE mainland/free-zone, and GCC corporate requirements is preferred.
