Job Description
The Document Controller is responsible for the firm's document control systems and archive rooms, ensuring that client, and legal-reference documentation is accurate, complete, compliant, and readily accessible. The role also encompasses management of the firm's legal reference library, including cataloguing, updating, and circulating newly published laws and amendments.
Key responsabilities :
Document control:
• Coordinate, maintain, and control all documents.
• Create, maintain, and update document control databases and systems, and develop procedures for document control.
• Maintain organized records of all documents and monitor document status, taking appropriate action as needed.
• Liaise with other departments to ensure document accuracy and compliance.
• Ensure the document control system complies with safety regulations, policies, and current standards, keeping up to date with changes.
• Utilize Microsoft Office applications for day-to-day document control tasks.
• Troubleshoot and resolve document control issues in a timely manner.
Legal Library :
• Design and maintain a searchable directory by creating a detailed catalog of all books available in the library, supporting staff with the material they need.
• Maintain an ongoing update of new law publications by communicating periodically with the official printing press (Al-Matabea Al-Amiriya).
• Maintain an effective flow of information by notifying all lawyers of newly published laws and any amendments.
• Update the system with newly published laws and amendments to maintain it as a trusted legal reference.
• Maintain an organized library system by keeping an updated log of books checked in and out.
Qualifications
• Bachelor's degree in Library and Information Science, Business Administration, or a related field.
• 2+ years of experience in document control, records management, or archiving, ideally within a law firm or professional services environment.
• Strong working knowledge of document control systems, filing structures, and version-control procedures.
• Proficiency in Microsoft Office applications (Word, Excel, Outlook) and familiarity with document management software.
• Excellent organizational skills and close attention to detail, with the ability to manage high volumes of documents accurately.
• Strong written and verbal communication skills in both Arabic and English.
• Ability to handle confidential and sensitive client and firm information with discretion.
• Strong time-management skills, with the ability to prioritize and meet deadlines in a fast-paced environment.
• Familiarity with legal terminology and common law firm document types (contracts, pleadings, correspondence) is an advantage.
