Job Purpose
The Event Application Software Manager is responsible for the planning, implementation, and operations of the Games Management System (GMS) and Help Desk System (HDS) for the Games. This role ensures that these applications are fully functional, tailored to the needs of the Organizing Committee, integrated with relevant functional areas, and compliant with OCA guidelines and local regulations.
Job Specific Accountabilities
Games Management System (GMS) Delivery & Operations
Lead the design, configuration, implementation, and live operation of GMS modules, including but not limited to:
- Registration & Accreditation (ACR)
- Arrivals & Departures
- Electronic Access Control
- Staff & Volunteers Management
- Sport Entries & Qualifications (SEQ)
- Accommodation Management
- Uniforms Management
- Ensure all GMS modules are delivered in alignment with OCA standards, Games operational requirements, and agreed timelines.
- Coordinate closely with LOC functional areas (Accreditation, Protocol, Transport, Accommodation, Volunteers, Uniforms, Sports, etc.) to gather, validate, and translate operational requirements into system configurations.
Vendor & Stakeholder Management
- Manage the relationship with the GMS vendor and relevant system integrators, ensuring clear scope definition, issue resolution, and delivery accountability.
- Act as the primary focal point between operational teams and technical providers to ensure smooth collaboration and timely decision-making.
Help Desk System (HDS) Management
- Oversee the deployment and operation of the Help Desk System (HDS) to support Games-time systems and users.
- Define and configure incident categories, severity levels, escalation paths, SLAs, and reporting workflows.
- Establish and enforce procedures for incident logging, tracking, SLA monitoring, and resolution validation.
Testing, Training & Readiness
- Plan and lead User Acceptance Testing (UAT) and homologation activities for all GMS modules and the HDS, ensuring operational readiness and compliance.
- Develop and deliver training sessions, manuals, and user guides for LOC staff, stakeholders, and volunteers.
- Support functional areas during test events, simulations, and Games-time rehearsals.
Data Protection & Compliance
- Ensure full compliance with KSA data protection regulations and hosting requirements, including secure storage, access control, and handling of personal and operational data.
- Coordinate with vendors and hosting providers to ensure systems meet national regulatory and cybersecurity standards.
Games-Time & Post-Games Activities
- Monitor system performance during Games-time and ensure rapid resolution of incidents and operational issues.
- Provide on-ground and command-center support during critical operational periods.
- Produce post-Games reports covering system performance, usage statistics, incident analysis, lessons learned, and recommendations for future events.
