Job Description

Material Expediter (Saudi Nationals Only)

Job Summary

The Material Expediter is responsible for monitoring and expediting procurement, manufacturing, logistics, and delivery activities to ensure materials are available as per project requirements and schedules.

The role involves close coordination with suppliers, freight forwarders, procurement teams, warehouse/site teams, and project management to avoid delays and maintain smooth material flow across projects within the Kingdom of Saudi Arabia.

The Material Expediter will also manage logistics documentation, shipment tracking, vendor follow-ups, and reporting activities while ensuring compliance with company procedures and KSA regulations.

Responsibilities

  1. Maintain and regularly update the Project Material Tracker with accurate status of PRs, POs, manufacturing, shipment, and delivery.
  2. Expedite suppliers to ensure timely order acknowledgment, production progress, and dispatch as per the project schedule.
  3. Monitor critical materials and proactively highlight potential delays to Procurement and Project teams.
  4. Coordinate with vendors to obtain production schedules, inspection dates, and shipping details.
  5. Ensure alignment between procurement delivery timelines and project execution requirements.
  6. Follow up on pending approvals, documentation, and material submittals affecting procurement progress.
  7. Prepare and circulate weekly material status reports to management and project stakeholders.
  8. Maintain proper records of purchase orders, packing lists, delivery notes, and inspection reports.
  9. Identify supply chain risks and propose corrective actions to avoid project delays.
  10. Support the procurement team in resolving vendor performance issues.
  11. Ensure compliance with company procurement procedures and project requirements.
  12. Coordinate local material collection and transportation within the Kingdom, ensuring timely pickup from suppliers and delivery to the warehouse/site.
  13. Manage international shipments, coordinating with freight forwarders, customs clearance agents, and transporters to ensure smooth import/export operations.
  14. Track logistics documentation (Bill of Lading, AWB, Commercial Invoice, Packing List, Customs Documents) and ensure compliance with KSA regulations.

Requirements & Qualifications

  • Bachelor's Degree or Diploma in Supply Chain, Logistics, Business Administration, or a related field.
  • Minimum 3–5 years of experience in procurement expediting, logistics coordination, or material control, preferably in system integrator companies or fast-track projects.
  • Experience in local and international logistics coordination, including customs clearance and freight forwarding.
  • Familiarity with KSA import/export regulations and local transportation processes.
  • Strong follow-up, communication, and coordination skills with suppliers and internal stakeholders.
  • Proficiency in Microsoft Excel, ERP systems, and material tracking/reporting tools.
  • Good English communication skills; Arabic language knowledge will be an advantage.
  • Ability to work under pressure and manage multiple priorities within project deadlines.
