As a Mortgage Coordinator, you will play a critical operational role in ensuring smooth, fast, and accurate execution across the mortgage journey. You'll support advisors by managing workflows, maintaining pipeline hygiene, and acting as the connective tissue between customers, banks, and internal teamsdirectly contributing to higher conversion, faster turnaround times, and a better customer experience.

Your Mission as a Mortgage Coordinator

Your mission is to ensure operational excellence across the mortgage funnel. By owning administrative execution, follow-ups, and coordination, you will enable mortgage advisors to focus on advisory and closingwhile ensuring customers and bank partners experience a seamless, professional journey.

What You'll DoPipeline & Workflow Management
  • Own day-to-day administrative workflows supporting the mortgage advisory team.
  • Maintain a clean, accurate, and up-to-date pipeline across all active cases.
  • Schedule meetings, manage advisor calendars, and ensure timely progression of cases.
  • Actively chase customers using structured call-out lists to identify opportunities and unblock stalled cases.

Customer & Bank Coordination
  • Serve as the primary coordination point between customers, advisors, and banks.
  • Collect required customer documentation as confirmed by advisors and ensure completeness.
  • Follow up on outstanding requirements from banks or customers to avoid delays.
  • Support campaign-driven callouts and funnel initiatives as directed by operations.

Documentation & CRM Excellence
  • Complete bank application forms accurately and submit them within agreed timelines.
  • Review, rename, and organize customer documents systematically within the CRM.
  • Ensure all client records are accurately maintained and consistently updated.
  • Flag missing data, discrepancies, or risks early to advisors and operations leadership.

Operational Support & Quality Control
  • Identify bottlenecks, recurring issues, or delays in the mortgage process and escalate proactively.
  • Ensure compliance with internal process standards and documentation requirements.
  • Support continuous improvement of operational workflows and best practices.

What We're Looking For

Experience & Background
  • Prior experience in mortgage coordination, financial services, banking operations, or client support roles is an advantage.
  • Experience working with CRMs and document-heavy workflows is highly preferred

Core Skills
  • Strong organizational skills with exceptional attention to detail.
  • Clear and professional communication skills across email, WhatsApp, and internal tools.
  • Confident stakeholder coordination across customers, advisors, and bank partners.
  • Proficiency in CRM systems and Microsoft Office tools.
