About the Role

We are seeking a highly organized, presentable, and proactive Office Administrative Assistant to join our Dubai office. The ideal candidate will have previous administrative experience in the UAE, excellent communication skills, and the ability to support day-to-day office operations, HR coordination, and front-desk responsibilities.

This role is ideal for Nepali person who thrives in a fast-paced professional environment and can provide exceptional support to management, clients, and candidates.

Key Responsibilities

Front Desk & Customer Service

  • Welcome visitors, clients, and candidates in a professional manner
  • Manage reception duties, including answering phone calls and responding to emails
  • Coordinate meeting room bookings and handle guest registrations

Administrative Support

  • Maintain office documentation, filing systems, and daily administrative tasks
  • Prepare letters, memos, and official correspondence
  • Manage office supplies, stationery, and procurement coordination
  • Assist with travel arrangements, logistics, and scheduling

HR & Recruitment Coordination

  • Support the HR team with onboarding, document collection, and candidate follow-up
  • Schedule interviews and coordinate with candidates regarding appointment timings
  • Ensure confidentiality of employee and candidate documents
  • Assist with visa, employment contract, and compliance documentation when required

Office Operations

  • Manage courier services, deliveries, and mail distribution
  • Coordinate with building management, maintenance, and external vendors
  • Support company events, meetings, and internal activities

Requirements

  • Native Nepali language skills is a must
  • 13 years UAE experience in administration, reception, or office support roles
  • Strong communication skills in English (Nepali is an advantage)
  • Professional appearance and customer-oriented attitude
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • Knowledge of UAE office norms, document handling, and basic HR procedures is a plus
  • Ability to multitask, prioritize, and work under minimal supervision
  • Positive, proactive, and reliable personality
