Role Summary:
The Office Manager & HR Administrator oversees all day-to-day administrative, HR, and office operations. This includes managing supplier payments, invoices, and petty cash; coordinating payroll and contracts through Deel; overseeing the driver, office maintenance, and staff holidays; and ensuring smooth internal communication across departments. The role also includes front-office responsibilities such as welcoming clients, offering hospitality (tea, coffee, etc.), and maintaining a professional office environment.
Key Responsibilities:
- Administration & Finance:
- Manage office bills, utilities, and vendor payments.
- Prepare and distribute internal invoices for accounting.
- Track receipts and maintain financial records for office expenses.
- Human Resources:
- Handle employee onboarding/offboarding and contracts.
- Manage payroll cycles and leave tracking via Deel.
- Maintain employee files and coordinate with PRO for visas.
- Office Management:
- Oversee the driver, deliveries, and supplies.
- Maintain a clean, organized, and welcoming workspace.
- Ensure all office services (internet, cleaning, etc.) are up to date.
- Front Office / Reception:
- Greet and assist visitors in English, Russian, or French.
- Offer refreshments and ensure client meetings run smoothly.
- Handle calls, mail, and general office correspondence.
- Communication & Coordination:
- Act as liaison between management and staff.
- Be proactive in follow-ups, reminders, and task tracking.
Ideal Profile:
- Fluent in English and at least one additional language (Russian or French).
- Highly organized and communicative.
- Experience with Deel, MS Office / Google Workspace, and basic accounting tools.
- Previous experience in a corporate services or international office environment is preferred.
