Job Description

Purpose:

The officer will manage the entire supply chain, purchasing for all buildings and grounds materials and assets for the New Cairo Campus (NC) and faculty housing. This role ensures that maintenance shops are accurately supplied with necessary materials to enhance maintenance performance, overseeing substantial capital and supplies budgets, and acting as the primary liaison with the Office of Procurement Services and external vendors.

Responsibilities:

  • Procurement Management: Manage all purchase requests (PRs) for stock, assets of low and high value, and non-stored materials for NC and faculty housing, which involves coordinating asset requests with end-users and the Fixed Asset Office
  • Direct Payment Request (DPR) Cycle Management: Manage the end-to-end cycle of all direct payment requests across all AUC campus, including preparation, follow-up, and ensuring the issuance of the direct payment order (DPO)
  • Budgeting and Financial Coordination: Monitor assets and projects within the current budget, monitor the maintenance capital and supplies budget and reconcile monthly expenditure with the Maintenance Department budget for PRs and DPRs
  • Vendor and Contract Liaison: Act as the main contact between the Maintenance Department and the Procurement Office to expedite purchases, preparing and managing sole source or brand forms and their associated approval cycle
  • Inventory and Store Management: Oversee the inventory process by tracking slow-moving items to determine the proper action and follow up on the status of all material store reservations
  • Administrative and System Support: Manage administrative tasks related to the supplies cycle, including using SAP supply chain and financial modules for material masters, purchase requests, and budget management, and support the entire Maintenance Department team with necessary documentation and follow-up
  • General Administration Support: Perform other administrative duties as assigned

Requirements:

Education and Experience:

  • University degree in a relevant field
  • Minimum of 10 years of experience in a related field

Skills:

  • Technical Expertise: SAP user is mandatory, specifically assets, material masters, purchase requests, store reservations, and budgeting
  • Excellent command of MS Office, e.g. Excel, PowerPoint, and Word
  • Core Skills: Proactive, highly organized, with strong time management and planning skills
  • Excellent communication, presentation, and customer service skills
  • Work Ethic: Attention to detail and ability to multi-task and work under stress
