Job Summary
The Onboarding Specialist is responsible for delivering a best-in-class new hire experience. This role manages the administrative, operational, and cultural aspects of employee onboarding to ensure new staff members integrate successfully into the organization and become productive quickly.
Essential Duties & Responsibilities
Pre-boarding Execution (Days -14 to 0):
- Draft and send offer letters and employment contracts.
- Initiate and manage background checks, reference checks.
- Send new hire intake forms via HRIS and ensure accurate data entry.
- Coordinate with IT to provision hardware, software, and network access.
- Act as the liaison between Recruiting, IT, and Facilities to ensure workspace readiness.
Orientation & Training (Day 1 - 30):
- Facilitate New Hire Orientation sessions (presenting benefits, policies, and company history).
- Coordinate with department heads to schedule 30/60/90-day check-in meetings.
- Audit I-9 documentation and E-Verify completion (if applicable).
Compliance & Data Management:
- Maintain personnel files in compliance with local, state, and federal regulations.
- Ensure all compliance training (Harassment, Safety, Code of Conduct) is assigned and completed.
Experience & Culture (Ongoing):
- Send welcome emails to the company and coordinate team introductions.
- Administer new hire satisfaction surveys at 30, 60, and 90 days; analyze data to report on retention risks.
Qualifications:
- Bachelor's degree in human resources, Business, or related field preferred.
- Minimum 2 years of experience in HR coordination, staffing, or high-volume administrative support.
- Certifications: SHRM-CP or PHR is a plus.
Technical Skills:
- Advanced knowledge of HRIS.
- Proficiency in G-Suite and Microsoft Suite (Excel/Sheets pivot tables a plus).
Soft Skills:
- High emotional intelligence (EQ) and customer service orientation.
- Ability to handle confidential information with discretion.
- Ability to multitask and prioritize in a fast-paced environment.
