Role Overview
The Assistant Project Coordinator supports the Artistic Director and senior team in the coordination and execution of live entertainment projects. The role involves administrative support, professional communication, scheduling, and on-site assistance during events. Precision, discretion, and reliability are essential.
Key Responsibilities
Assist in the planning and coordination of live events and artistic projects
Manage schedules, timelines, rehearsals, and basic logistics
Draft and follow up on professional emails with clients, venues, artists, and suppliers
Support artist coordination, including availability, call times, and confirmations
Maintain internal trackers, calendars, and project documentation
Assist with preparation of client-facing materials and internal summaries
Provide operational and on-site support during events when required
Requirements
Excellent written and spoken English
Strong organizational and multitasking skills
Professional email writing and communication ability
Attention to detail and ability to work under pressure
Flexibility to work evenings and weekends when required
Previous experience in events, hospitality, or entertainment is a plus
