About the Role

As an Operations Executive, you will own import and export shipments from enquiry and quotation through to delivery, documentation, and final invoicing. You will work closely with sales, customer service, transport, and finance to deliver timely, cost-effective service. This is a full-time, on-site role in Abu Dhabi.

Key Responsibilities

Coordinate import and export shipments across ocean, air, and domestic logistics, working closely with sales and customer service.
Create jobs in the Next system from pre-alert documents, prepare files manually, and verify documents for UAE customs clearance compliance.
Track shipments with carriers, keep clients updated, and resolve delays proactively. On arrival, raise payment requests and collect Delivery Orders (DO).
Arrange cargo delivery with customers and the transport team, prepare delivery notes, and collect signed Proof of Delivery (POD).
Verify job costs and margins, upload supplier and transporter invoices, and send invoices to customers with acknowledgments filed in the system.
Invoice every job within 24 hours of delivery, close jobs immediately after, and send organized files to the archive desk on time.
Respond to internal and external enquiries on shipments, billing, and status, escalating complex cases for resolution.
Manage the full export process, from enquiry and quotation to execution, delivery, documentation, and invoicing.
Track industry regulations and market trends to support the sales team, and help prepare operational reports.

Requirements

Minimum 2 years of experience in logistics, freight forwarding, or supply chain operations, preferably in the UAE or GCC.
Diploma or bachelor's degree in logistics, supply chain management, business, or a related field.
Knowledge of shipping documentation and UAE customs procedures.
Proficiency in MS Office and ERP or logistics systems.
Strong analytical, communication, and problem-solving skills with high attention to detail.
Ability to manage multiple priorities in a fast-paced environment.
