Job Description

Role Purpose

The Operations and Leasing Coordinator shall be responsible for the day-to-day on-site coordination of business centre operations, client handling, call handling, and leasing support activities. The role acts as the primary on-ground point of contact for tenants, prospective clients, and service providers, while operating under the direction of the Operations Manager.

Key Responsibilities Operations Coordination

Coordinate daily business center operations to ensure smooth, uninterrupted functionality of the premises.

Act as the on-site point of contact for tenants regarding operational requests, access issues, and general coordination matters.

Handle incoming calls from tenants and prospective clients related to operational matters, space availability, and general inquiries, and route or escalate calls as required.

Liaise with maintenance, cleaning, security, and other service providers to follow up on operational tasks and reported issues.

Monitor cleanliness, readiness, and presentation of common areas, offices, and meeting rooms, and report deficiencies to the Operations Manager.

Coordinate access control, keys, passes, and basic facility arrangements as required. Leasing & Commercial Support

Receive and handle inquiries from potential clients via phone, walk-ins, and digital channels.

Conduct site tours for prospective clients and explain available office solutions in line with approved pricing and policies.

Coordinate leasing documentation, applications, and internal approvals.

Follow up on renewals, move-ins, and move-outs in coordination with the Operations Manager and Accounts where required.

Maintain accurate records of occupied units, vacant units, and leasing status. Client & Front-of-House Management

Serve as the primary on-site point of contact for tenants, visitors, and prospective clients.

Answer and manage inbound calls professionally, ensuring client inquiries are logged, responded to, or escalated as required.

Support tenant onboarding and offboarding processes in coordination with relevant departments.

Escalate unresolved issues, complaints, or exceptions to the Operations Manager promptly. Administrative & Reporting Support

Maintain operational logs, call records, and trackers related to occupancy, inquiries, and service requests.

Coordinate with Accounts on invoicing support, service confirmations, and tenant-related follow-ups when required.

Prepare periodic operational and leasing updates for the Operations Manager as requested.

Ensure adherence to approved procedures, policies, and operational instructions. Qualifications & Experience

Prior experience in business centers, serviced offices, coworking spaces, or property operations is preferred.

Experience in handling client calls, inquiries, and walk-ins is required. Skills
