Job Description

Job Objective

To ensure quality assurance is applied consistently and to a high standard across all online and in-person programmes and courses. The role provides cross-functional technical and administrative support, while actively identifying, proposing, and supporting the implementation of automation, digital tools, and AI-enabled solutions to improve internal efficiency, data accuracy, and process flow, in line with AFAQ's policies and standards.

Key Responsibilities

  • Develop and document plans for all programme delivery with clear actions for preparation, follow-through, and follow-up
  • Store plans, documents, assessment results, survey results, and student LMS submissions in alignment with AFAQ policies and procedures
  • Ensure that all programmes comply with awarding body requirements for assessment delivery
  • Ensure that all trainers and assessors have the materials and resources required to effectively conduct programmes and courses
  • Ensure that attendance is recorded for all programmes and stored securely
  • Ensure that all assessment results are collected and secured in line with AFAQ's quality assurance policies
  • Prepare training rooms with all required participant resources and materials
  • Conduct satisfaction surveys in line with relevant policies and procedures
  • Participate in quality assurance activities in relation to customer satisfaction and follow-up with identified actions or improvements

Digital & Automation Responsibilities

  • Identify repetitive, manual, or high-volume administrative processes that can be automated or digitised to improve efficiency and reduce error
  • Proactively propose the use of AI tools, automation platforms, or workflow systems to enhance programme administration, reporting, and data management
  • Support the implementation and testing of approved automation initiatives in collaboration with Operations and Senior Leadership
  • Use AI-enabled tools responsibly to assist with documentation, reporting, scheduling, data organisation, and quality monitoring
  • Continuously review internal workflows and flag opportunities for process optimisation and smarter use of technology
  • Conduct any other reasonable activity as required within the scope of the role

Competencies & Attributes

  • Demonstrate an advanced level of computer literacy and confidence using digital systems
  • Comfortable working with AI-enabled tools, automation platforms, and digital productivity systems (e.g. workflow tools, LMS automation, data management tools)
  • Ability to identify inefficiencies, articulate improvement opportunities, and follow through on approved process enhancements
  • Strong critical thinking, analysis, problem-solving, and decision-making skills with high attention to detail
  • Excellent organisational and time-management skills
  • Strong interpersonal and communication skills, with the confidence to raise improvement ideas constructively
