About the Role
We are seeking a detail-oriented and highly organized Senior Payroll & Personnel Specialist
to join our Human Resources team.
The successful candidate will be responsible for managing payroll inputs, personnel administration, employee records, attendance management, social insurance activities, and compliance-related processes while ensuring accuracy, confidentiality, and adherence to labor regulations and company policies.
Key Responsibilities
Payroll Administration
* Prepare and validate monthly payroll inputs, including attendance deductions, overtime, allowances, loans, penalties, and salary adjustments.
* Review payroll-related transactions to ensure accuracy and compliance with company policies.
* Coordinate payroll processing activities and support payroll audits and reconciliations.
* Respond to employee inquiries regarding payroll calculations, deductions, and salary-related matters.
Personnel Operations
* Maintain accurate employee records, both physical and electronic, ensuring all documentation is complete and up to date.
* Manage employment contracts, amendments, renewals, and personnel-related documentation.
* Process employee lifecycle transactions, including hiring, transfers, promotions, organizational changes, and terminations.
* Prepare HR letters, certificates, and employment-related documents as required.
Social Insurance & Compliance
* Handle social insurance registrations, updates, and employee terminations.
* Ensure compliance with labor law requirements, social insurance regulations, and internal policies.
* Maintain readiness for internal and external audits through proper documentation and record management.
* Liaise with government authorities and external entities regarding personnel-related matters.
Attendance & Leave Management
* Monitor attendance records, leave balances, overtime, and timekeeping data.
* Investigate attendance discrepancies and coordinate with managers to resolve issues before payroll closure.
* Ensure all attendance-related transactions are properly documented and approved.
* Generate periodic attendance and workforce reports.
Employee Support & Process Excellence
* Serve as a primary point of contact for personnel and payroll inquiries.
* Support onboarding and offboarding processes, including employee documentation and final settlements.
* Identify opportunities to improve payroll and personnel processes, accuracy, and efficiency.
* Ensure confidentiality and integrity of employee information at all times.
Qualifications
* Bachelor's degree in Human Resources, Business Administration, Accounting, or a related field.
* 3–5 years of experience in Payroll and Personnel Operations.
* Proven experience dealing with government authorities and external service providers.
* Previous experience in the F&B industry is preferred.
* Strong knowledge of labor law, social insurance regulations, payroll administration, and personnel processes.
* Hands-on experience with HRIS, payroll systems, attendance systems, and employee databases.
