Job Description

Key Reponsbilities:

1. Operations & Scheduling

  • Organize day-to-day operations for the executive.
  • Schedule and coordinate both in-person and online meetings with branch offices across several African countries.
  • Manage calendar conflicts and time-zone differences effectively.

2. Travel & Logistics

  • Arrange all required travel including flights, accommodations, and ground transport.
  • Handle multi-country visa applications and supporting documentation.
  • Prepare detailed itineraries for trips involving multiple African destinations.

3. Communication & Reporting

  • Liaise with branch managers across different time zones.
  • Proactively gather information, updates, and reports from branch offices.
  • Ensure timely and accurate flow of information between headquarters and African branches.

4. Documentation & Corporate Records

  • Draft letters, memos, and other correspondence as required.
  • Prepare and format corporate documents including:
  • Minutes of board meetings
  • Resolutions
  • Official internal communications

5. Filing & Deadline Management

  • Organize and maintain a logical filing system (physical or digital).
  • Set up alerts and reminders for critical deadlines.
  • Ensure all documents are easily retrievable and up to date.

Required Qualification and Experience:

  • Minimum 1–3 years of experience as a Personal Assistant or Executive Assistant.
  • Proven experience supporting international operations (Africa experience strongly preferred).
  • Strong working knowledge of:
  • MS Office (Word, Excel, Outlook, PowerPoint)
  • Online meeting platforms (Zoom, Microsoft Teams, Google Meet)
  • Cloud filing systems (Google Drive, SharePoint, Dropbox)
  • Excellent written English – ability to draft formal corporate documents.
