Job Description

We are a fast-growing startup based in Dubai, currently refurbishing our new office and rapidly scaling our in-house operations. We're looking for a highly proactive Personal Assistant / Operations Executive who thrives in a fast-paced environment and takes ownership without needing constant direction.

This is not a traditional PA role. You will sit at the centre of the business, helping run daily operations, tightening back-office processes, ensuring financial and KYC accuracy, and helping build a strong execution-driven company culture.

If you are organised, decisive, obsessed with clean processes, and naturally see what needs to be done this role is for you.

Key Responsibilities

Operations & Administration

  • Travel planning and coordination
  • Managing inbound and outbound invoices
  • Sending invoices to customers and partners
  • Payroll management for staff
  • Supporting hiring processes, including visa coordination with PROs
  • General day-to-day operational support across the business

Finance, Payments & Back Office

  • Executing payments via blockchain (sending & receiving crypto)
  • Monitoring, reconciling, and validating transactions
  • Working with UAE banking systems (Emirates NBD experience preferred)
  • Ensuring absolute accuracy in payments and financial admin
  • Supporting back-office workflows and operational controls

KYC & Compliance Support

  • Handling KYC checks and back-office verification processes
  • Reviewing customer documentation and ensuring completeness
  • Maintaining organised, auditable KYC records
  • Supporting internal compliance workflows and escalation where required

Reporting & Controls

  • Affiliate reporting checks and reconciliations
  • Operational and performance reporting
  • Keeping systems, trackers, and workflows clean and up to date

Communication, Culture & Execution

  • Managing and responding to emails efficiently
  • Following up on actions and ensuring tasks are completed on time
  • Helping instil strong company culture (punctuality, accountability, ownership)
  • Ensuring meetings run on time and actions are executed
  • Supporting leadership with structure, prioritisation, and follow-through

Marketing & Social

  • Comfortable appearing on camera for social media content (If required)
  • Supporting basic social media tasks when required

What We're Looking For

  • Extremely proactive you take initiative without being asked
  • Highly organised; excellent with to-do lists, priorities, and execution
  • Strong attention to detail, especially with payments, KYC, and reporting
  • Experience in back-office operations and KYC processes
  • Comfortable improving and documenting operational workflows
  • Experience with crypto transactions (sending & receiving)
  • Clear communicator with strong written and verbal skills
  • Familiar with UAE business operations and banking

Bonus (not essential):

  • Forex, trading, or fintech experience
  • Startup or scale-up background
  • Project management or operations-focused role experience
