Job Title: Personal & Executive Assistant to CEO

Job Summary:
We are seeking a highly organized, proactive, and trustworthy Personal & Executive Assistant to support the CEO of a leading real estate development group. The role requires a high level of professionalism, discretion, and the ability to manage both business and personal matters efficiently in a fast-paced environment.
Key Responsibilities:
Executive Support:
- Manage and coordinate the CEO's calendar, meetings, and appointments
- Organize internal and external meetings, including preparing agendas and minutes
- Handle all correspondence, emails, and confidential communications on behalf of the CEO
- Act as a liaison between the CEO and senior management, stakeholders, and external partners
- Prepare reports, presentations, and briefing documents for executive meetings
- Follow up on action items and ensure timely execution
Administrative & Office Management:
- Coordinate daily office operations related to the CEO's office
- Maintain proper documentation, filing systems, and records
- Assist in drafting policies, letters, and official documents
- Coordinate with different departments to ensure a smooth workflow
Personal Assistance:
- Manage personal appointments, travel arrangements, and reservations
- Handle personal errands and requests with high confidentiality
- Coordinate family-related schedules or requirements if needed
- Ensure a balance between personal and professional commitments
Coordination & Communication:
- Facilitate communication between departments and senior management
- Ensure alignment and follow-up on executive directives
- Handle VIP clients and high-profile visitors professionally
Travel & Event Management:
- Arrange business and personal travel (flights, hotels, visas, itineraries)
- Organize corporate events, meetings, and executive gatherings
- Prepare detailed travel plans and schedules
Confidentiality & Compliance:
- Handle sensitive and confidential information with discretion
- Ensure all documents and communications comply with company policies
Requirements:
- Proven experience as an Executive Assistant / Personal Assistant to senior leadership or CEO level
- Experience in real estate or corporate environments is highly preferred
- Strong organizational and multitasking skills
- Excellent communication skills in English (Arabic is a plus)
- High level of discretion and professionalism
- Ability to work under pressure and manage priorities effectively
- Proficiency in MS Office and office management systems
