Position - PMO Lead


Duration - June 2026 to March 2027


Location - KSA


Role Overview


The PMO (Project Management Office) Lead is responsible for establishing governance, standardization, and oversight across all event projects. This role ensures that multiple events and production workstreams are delivered on time, within budget, and in alignment with organizational strategy, while maintaining consistency in project execution frameworks.


Key Responsibilities


1. PMO Governance & Framework



  • Establish and implement standardized project management methodologies (Agile/Waterfall/Hybrid) for event execution.

  • Define project lifecycle stages: initiation, planning, execution, monitoring, and closure.

  • Develop templates, SOPs, and playbooks for event delivery.


2. Portfolio & Program Management



  • Oversee a portfolio of events (corporate, sports, exhibitions, large-scale public events).

  • Prioritize projects based on business objectives, timelines, and resource availability.

  • Monitor interdependencies across multiple concurrent events.


3. Project Planning & Tracking



  • Ensure detailed project plans are created with timelines, milestones, and deliverables.

  • Track progress using dashboards and reporting tools.

  • Identify risks, delays, and bottlenecks, and implement mitigation strategies.


4. Resource & Capacity Management



  • Allocate project managers, technical teams, and operational staff across events.

  • Plan workforce requirements, including outsourced staffing for large-scale events.

  • Optimize resource utilization across multiple projects.


5. Budget & Financial Oversight



  • Monitor project budgets, cost tracking, and financial performance.

  • Ensure profitability and cost control across event portfolios.

  • Provide financial forecasts and variance analysis.


6. Stakeholder Management



  • Act as the central point of coordination between clients, production teams, vendors, and internal leadership.

  • Provide regular updates to senior management and clients.

  • Ensure alignment between commercial, operations, and production teams.


7. Risk, Compliance & Quality Assurance



  • Implement risk management frameworks across all projects.

  • Ensure compliance with UAE regulations, venue requirements, and safety standards.

  • Conduct post-event reviews and continuous improvement initiatives.


8. Reporting & Performance Management



  • Develop and maintain PMO dashboards (KPIs, timelines, budget performance).

  • Track key metrics such as:


    • Project delivery timelines

    • Budget adherence

    • Resource utilization

    • Client satisfaction


  • Present insights and recommendations to leadership.


Required Skills & Competencies



  • Strong expertise in project/program management within events or production

  • Knowledge of PMO frameworks, governance models, and reporting structures

  • Proficiency in tools such as:


    • MS Project / Smartsheet

    • Jira / Asana / Monday.com

    • Power BI / Excel dashboards


  • Strong analytical and problem-solving skills

  • Excellent stakeholder and communication skills

  • Ability to manage multiple high-pressure projects simultaneously


Qualifications



  • Bachelor's degree in Business, Project Management, Event Management, or related field

  • PMP / PRINCE2 certification (highly preferred)

  • 7-12+ years of experience in project/program management

  • Prior experience in events, exhibitions, or production environment is mandatory
