Job Description

Job Purpose

The Process Automation Officer supports Floward's Transformation & Digitization initiatives by identifying operational inefficiencies and contributing to the automation of repetitive business processes. Working closely with senior automation team members, this role assists in process analysis, workflow automation, testing, reconciliation activities, and post-deployment support to improve operational efficiency, accuracy, and scalability across the business.

Key Responsibilities

Process Discovery & Documentation

  • Observe and analyze operational workflows to identify manual, repetitive, or inefficient processes suitable for automation.
  • Document current-state processes, workflows, and system interactions using process maps and standardized templates.
  • Maintain process documentation, automation backlogs, and improvement trackers.
  • Capture business requirements, data flows, and exception scenarios for automation initiatives.
  • Support senior team members in evaluating automation opportunities.

Workflow Automation

  • Build and maintain simple to moderately complex automation workflows using low-code and no-code platforms such as Microsoft Power Automate, n8n, Zapier, or Google Apps Script.
  • Configure workflow triggers, notifications, scheduled tasks, and integrations within approved automation platforms.
  • Assist in developing scripts, macros, and automated routines that improve operational efficiency.
  • Perform testing, validation, and troubleshooting prior to automation deployment.
  • Support User Acceptance Testing (UAT) by preparing test scenarios, documenting issues, and validating solutions.

Data Reconciliation & Monitoring

  • Execute daily reconciliation processes to ensure data accuracy across operational systems.
  • Monitor automation performance and investigate workflow failures or exceptions.
  • Maintain automation logs, audit records, and error reports.
  • Prepare recurring reports and contribute to automation performance dashboards.
  • Escalate recurring issues and assist in identifying root causes and improvement opportunities.

Cross-functional Collaboration

  • Collaborate with Operations, Supply Chain, Finance, IT, and other business teams to gather automation requirements and support implementation activities.
  • Assist stakeholders during automation rollouts by providing documentation, user guides, and training materials.
  • Coordinate follow-ups on automation requests, enhancements, and issue resolution.
  • Support change management activities to encourage user adoption of automated processes.
  • Contribute to continuous improvement initiatives that enhance operational efficiency across Floward.
