Job Description

Job Purpose: The Program Manager will manage and coordinate the planning, delivery, and administration of academic or professional programs. The role supports senior leadership in implementing policies, managing resources, overseeing program operations, and contributing to program growth, sustainability, and stakeholder engagement in alignment with institutional objectives

Core Responsibilities:

Program Planning and Coordination:

● Coordinate day-to-day program operations to ensure activities are delivered on schedule and in accordance with approved plans

● Support academic and administrative leadership in implementing policies, procedures, and program requirements

● Coordinate scheduling, resource allocation, and operational readiness across program offerings

● Maintain accurate documentation and records related to program activities and processes

Financial and Resource Management:

● Manage program budgets in coordination with finance and relevant administrative offices

● Monitor expenditures, prepare financial reports, and support forecasting and annual planning activities

● Coordinate payments, contracts, and financial documentation related to instructors, consultants, and program activities

● Support funding administration, including grants, scholarships, and externally funded initiatives

Stakeholder and Academic Support:

● Provide administrative and coordination support to faculty, instructors, students, and program coordinators

● Serve as a point of contact for internal and external stakeholders, addressing inquiries and resolving operational issues

● Coordinate student or participant support services, including registration, logistics, and program materials

● Facilitate communication and collaboration between academic units and administrative support departments.

Marketing, Outreach and Partnerships:

● Assist in the implementation of marketing and outreach strategies to promote programs and attract participants

● Coordinate the distribution of communications and promotional materials across approved platforms

● Monitor inquiries and engagement channels and coordinate responses in alignment with communication plans

● Support the development and administration of customized programs and professional development initiatives

● Coordinate proposal preparation, reporting, and documentation related to partnerships, donors, or external stakeholders

Compliance and Quality Assurance:

● Ensure program activities comply with institutional policies, procedures, and reporting requirements

● Identify operational risks, issues, or improvement opportunities and escalate as appropriate

● Assist in tracking performance, feedback, and outcomes to support continuous program improvement

General Administrative Support:

● Perform other administrative duties as required

Qualifications:

Education and Experience:

● Bachelor's degree is required

● Master's degree in a relevant field is preferred

● Minimum of eight to ten years of relevant professional experience

● Experience in program management, academic administration, or a related field within higher education or professional training environments

● Experience with financial monitoring, budget coordination, and stakeholder management

Skills:

● Managerial: Strong organizational and planning skills with the ability to coordinate multiple workstreams and meet deadlines

● Communication: Excellent written and verbal communication skills with the ability to interact effectively with diverse stakeholders

● Technical: Proficiency in MS Office and administrative systems

● Analytical: Problem-solving skills and attention to detail
