Job Overview:

We are seeking a highly organized and proactive Project & Business Coordination Specialist to join Kanoo AI & Robotics (KAIR). This role will ensure seamless administrative operations, effective communication with internal and external stakeholders, provide project coordination support for ongoing implementation projects, and contributing to the successful delivery of our innovative solutions.

Job Responsibilities:

1.Project Coordination & Delivery:

  • Lead coordination for KAIR's customer projects, ensuring tasks, timelines, budgets, and deliverables are tracked and completed successfully.
  • Act as the main liaison between the General Manager, Sales teams, partners, and customers to ensure project milestones are met.
  • Support planning, scheduling, and resource allocation for ongoing projects.
  • Prepare and maintain project documentation, trackers, progress reports, and follow-up action items.
  • Proactively identify project risks, bottlenecks, or delays, and work with the respective stakeholders to resolve them.
  • Provide on-the-ground support for demos, site visits, workshops, and any project-related customer interactions.

2.Business & Administrative Support:

  • Coordinate internal office operations, including managing phone calls, emails, document management, office supplies, and general upkeep.
  • Support sales and operational tasks by compiling correspondence, maintaining trackers, and assisting with approvals.
  • Liaise with internal Kanoo Group departments (Finance, Legal, Marketing, HR, Procurement, IT) to ensure the smooth operations of KAIR.
  • Act as second-in-command (2IC) to the General Manager when needed, supporting urgent coordination, follow-up, and stakeholder communications.

Job Requirements:

  • Minimum 5 years experience in project coordination, administrative , or business operations, preferably in B2B, industrial, or technology-driven organizations.
  • Excellent written and verbal communication skills in English. Basic knowledge of Arabic is also preferred.
  • Ability to manage multiple projects, prioritize tasks, and drive timely completion.
  • Strong coordination, planning, and documentation skills.
  • Collaborative, dependable, and adaptable to changing environments.
  • Calm under pressure and able to manage multiple priorities.
  • Proficiency in CRM systems (like Hubspot, Zoho, Vtiger, etc.) and Microsoft 365 tools (Outlook, Word, Excel, PowerPoint, Teams, SharePoint, Planner, Project).
  • Commercial and administrative acumen (invoices, purchase requests & orders, vendor coordination, etc.).
