Responsibilities
Project Coordination & Support
- Assist the Project Manager in planning and executing fit-out projects.
- Coordinate daily activities between site, design, procurement and subcontractors.
- Follow up on project tasks and ensure timely closure of actions.
Site Coordination
- Monitor site progress and provide updates to the Project Manager.
- Coordinate subcontractors, labour teams and site engineers.
- Ensure required materials and resources are available on site.
Design & Technical Coordination
- Track shop drawings, GFC drawings and material submittals.
- Coordinate with Design and BIM teams for revisions and approvals.
- Support the resolution of RFIs and technical issues.
Procurement Coordination
- Follow up on material deliveries and long-lead items.
- Coordinate with Procurement on purchase orders and supplier updates.
- Highlight delays or risks that may affect the project schedule.
Documentation & Reporting
- Maintain drawing registers, material submittals, RFIs and approval logs.
- Prepare daily/weekly project progress reports.
- Support the preparation of project status presentations.
Stakeholder Communication
- Coordinate between clients, consultants, site teams and internal departments.
- Assist with site meetings and prepare meeting minutes.
- Maintain proper documentation of instructions and decisions.
Quality & Compliance
- Support the QA/QC team with inspections and snag lists.
- Ensure work complies with project specifications and approved drawings.
- Follow up on corrective actions for site issues.
Requirements
Education
- Bachelor's Degree in Civil Engineering, Architectural Engineering, Construction Management, or a related field.
Experience
- 2–5 years of relevant experience.
- Experience in fit-out, construction, steel, modular/PODs, or manufacturing industries.
- Experience in project/site coordination, drawings, material submittals and project documentation.
Technical Skills
- Proficiency in MS Office – Excel, Word, PowerPoint & MS Project.
- Basic knowledge of AutoCAD.
- Experience with document control platforms such as Aconex or BIW.
- Understanding of shop drawings, GFC drawings, RFIs and material submittals.
- Basic understanding of project planning, QA/QC and HSE requirements.
Additional Qualifications
- Exposure to PMP/PRINCE2 or project management training is an advantage.
- Basic HSE awareness training is preferred.
Languages
- English required.
- Hindi or Arabic preferred.
Other Requirements
- Driving licence preferred where operationally required.
- Willingness to travel and flexibility with working hours.
- Strong coordination, communication, documentation and follow-up skills.
