This is a coordination-focused role for a highly organised individual who can keep studio actions, deliverables, meetings, submissions and follow-ups moving clearly. The Project Coordinator supports the studio by maintaining project information, tracking decisions, recording actions and ensuring that internal teams, consultants and owning-entity stakeholders remain aligned.
Key Responsibilities
•
Maintain project trackers covering actions, deliverables, decisions, risks, issues, submissions and follow-ups.
•
Prepare agendas, attend meetings, capture concise minutes and ensure actions are assigned, circulated and closed out.
•
Track consultant deliverables, pending responses, comments, information requests and overdue items.
•
Organise project files, drawing registers, reports, presentations, references and incoming / outgoing information in line with studio standards.
•
Support senior team members by keeping priorities visible and helping ensure deadlines are not missed.
•
Prepare concise progress updates, status summaries, trackers and weekly notes for internal review.
•
Carry out basic completeness checks on submissions, drawings, schedules and presentation material before review or issue.
•
Assist with the implementation and maintenance of studio / project management platforms such as Click Up or similar.
Required Experience and Capability
•
2–6 years of experience in project coordination, design coordination, architecture or a related built-environment role.
•
Architectural training or experience in a design studio, consultant office or developer environment is preferred.
•
Strong organisational skills and comfort managing trackers, deadlines, follow-ups and multiple live tasks.
•
Good understanding of common design documentation, drawing sets, submissions, minutes and consultant workflows.
•
Proficiency in Microsoft Office; experience with Click Up, Asana, Monday.com, Notion or similar tools is beneficial.
•
Clear written and spoken English, with concise communication and strong attention to detail.
