Job Description

Job Purpose

To provide project coordination and administrative support to ensure the effective planning, execution, monitoring, and documentation of projects and cross-functional initiatives. The role is responsible for coordinating stakeholders, supporting project meetings, maintaining project documentation, tracking action items and deliverables, and ensuring timely communication across project teams.

Key Responsibilities

  • Coordinate and schedule project meetings with internal and external stakeholders.
  • Prepare and distribute project meeting agendas, materials, and relevant documentation.
  • Attend project meetings and prepare accurate and structured meeting minutes and action logs.
  • Track project action items, deliverables, milestones, and deadlines, and follow up with responsible stakeholders.
  • Support project managers in planning, coordinating, and monitoring project activities.
  • Maintain project plans, trackers, reports, presentations, and other project documentation.
  • Prepare project status updates, summaries, presentations, and briefing materials for management.
  • Coordinate with cross-functional teams to ensure alignment and timely completion of project activities.
  • Organize and maintain project files and documentation in accordance with established procedures.
  • Support project reporting by collecting, consolidating, and analyzing relevant project information.
  • Conduct ad hoc research and administrative activities related to projects and strategic initiatives.
  • Identify and escalate project-related issues, delays, or risks to the Project Manager when appropriate.
  • Maintain confidentiality of sensitive project, business, and strategic information.
  • Perform other project coordination and administrative duties as assigned by the Project Manager or direct manager.

Qualifications & Experience

  • Bachelor's degree in Project Management, Business Administration, Engineering, or a related field.
  • Previous experience in project coordination, project management support, PMO, or a related role.
  • Experience working with cross-functional teams and multiple stakeholders.
  • Proficiency in Microsoft Office, particularly Excel, PowerPoint, Word, and Outlook.
  • Knowledge of project management methodologies, tools, and processes is preferred.
  • PMP, CAPM, or other project management certification is an advantage.
