Role Description

We are seeking a dedicated and highly organized Project Manager to oversee the planning, coordination, and execution of multiple high-profile projects across various industries, including both current and new projects. This full-time, on-site position, based in Doha, Qatar, involves overseeing a diverse range of projects, including daily operations, events and festivals, marketing campaigns, and other critical business activities.

As the Project Manager, you will be responsible for managing the full lifecycle of these projects, ensuring the successful execution of day-to-day activities. You will oversee key areas such as Planning & Coordination, Public Relations and Marketing, Reporting and Analytics, Digital Marketing and Social Media Management, and On-site Management, while ensuring alignment with the company's goals and objectives. Additionally, you will lead the coordination and management of internal teams, liaise with external vendors and clients, and make adjustments to timelines or resources as needed to ensure projects stay on track.

Job Responsibilities:

1.0 Planning & Coordination

1.1 Conceptualization and Design:

  • Collaborate with stakeholders to define the vision, objectives, and theme.
  • Develop a comprehensive plan, detailing schedules, timelines, and milestones.

1.2 Budgeting and Financial Management:

  • Develop and manage the budget, ensuring cost control and resource allocation.
  • Monitor expenses throughout the planning process, ensuring all spending aligns with the budget.

1.3 Vendor and Supplier Management:

  • Source, negotiate, and manage contracts with vendors.
  • Ensure the timely delivery of services and goods, ensuring high-quality standards are met.

1.4 Team Coordination & Leadership:

  • Direct and guide a team in both on-site and off-site operations.
  • Delegate tasks, track progress, and ensure timely completion with the highest standards of quality.

1.5 Logistics and Operations:

  • Oversee logistics including transportation, accommodations, set-up, and tear-down.
  • Coordinate specific elements such as stage production, entertainment, technical setups, signages, etc.

2.0 Public Relations & Marketing

2.1 Develop and Execute Marketing Strategies:

  • Develop and execute detailed marketing strategies and annual plans with clear targets, ensuring alignment with overall goals.
  • Lead PR and communications initiatives, ensuring they align with brand positioning and messaging.

2.2 Campaign Management:

  • Manage 360-degree campaigns (digital, social, print, radio, events) from planning through execution, ensuring integration across all channels.
  • Design and implement events & activations aligned with the marketing strategy to enhance audience engagement and brand awareness.

2.3 Brand Management:

  • Build and oversee brand guidelines, ensuring consistency across all platforms and materials.
  • Manage the creation of content calendars and coordinate influencer programs to amplify brand visibility and reach.

2.4 Market Research & Competitor Analysis:

  • Conduct market research and competitor analysis to identify trends, gaps, and opportunities to optimize future campaigns and events.
  • Stay up-to-date with the latest trends in marketing, PR, and the events industry, and integrate relevant trends into campaigns to ensure the brand remains innovative and competitive.

2.5 Client Liaison:

  • Act as the primary liaison with clients, ensuring client expectations are communicated and met effectively.
  • Serve as the primary point of contact for clients regarding all PR & Communication, and project-related matters, ensuring they are kept informed and engaged throughout the process.
  • Serve as the primary point of contact for all clients, handling all communications related to their projects and ensuring that all matters are addressed promptly and effectively.

3.0 Reporting & Analytics

3.1 Daily, Weekly & Monthly Reporting:

  • Compile and deliver daily reports on all company projects.
  • Provide comprehensive weekly reports on the status of all company projects.
  • Create detailed monthly dashboards to offer a strategic overview of progress, key performance indicators (KPIs), and overall outcomes.

3.2 Point of Contact for Weekly Client Reports:

  • Serve as the primary liaison for weekly client reports, ensuring that all updates are effectively communicated and thoroughly discussed. This includes delivering a comprehensive weekly presentation on the current progress of all company projects.

4.0 Digital Marketing and Social Media Management

4.1 Social Media Strategy:

  • Develop a comprehensive social media strategy across all Social Media platforms.
  • Create and schedule regular content to build excitement and increase engagement.

4.2 Content Creation and Campaign Execution:

  • Oversee and direct media teams to develop multimedia content (videos, graphics, photography).
  • Manage all type of campaigns and digital ads to enhance reach and conversions.

4.3 Email Marketing:

  • Oversee email marketing campaigns (newsletters, updates, reminders) to engage potential attendees and boost attendance.
  • Build email lists, segment audiences, and tailor messaging to maximize open rates and conversions.

5.0 On-Site Management

5.1 Execution:

  • Oversee daily operations, ensuring all logistical elements are executed seamlessly and according to the established plan.
  • Lead and manage on-site teams, ensuring they are well-trained, fully prepared, and equipped to handle all tasks efficiently.
  • Maintain consistent communication with stakeholders, vendors, clients and site-teams, ensuring their needs are met and expectations are exceeded.
  • Ensure all activities are executed on time, within budget, and to the highest quality standards, troubleshooting any issues that arise promptly.
  • Supervise the setup, execution, and breakdown of all event components, ensuring smooth transitions and minimal disruptions.
  • Conduct real-time problem-solving to address any on-site challenges, ensuring quick resolutions and maintaining a positive event experience for all stakeholders.

5.2 Crisis Management & Problem Solving:

  • Address any challenges or emergencies.
  • Adjust plans in real-time to ensure minimal disruption and the best possible experience.

6.0 Post-Evaluation & Reporting

6.1 Feedback Collection:

  • Gather feedback from attendees, and team members through surveys, focus groups, and interviews.
  • Analyze feedback and report on successes, areas for improvement, and overall impact.

6.2 Post-Promotion & PR:

  • Manage post-event communication, including thank-you notes, and social media wrap-ups.
  • Share highlights and key outcomes through media outlets, blogs, and social channels.

6.3 Reporting & Analysis:

  • Analyze data across daily, weekly, and monthly intervals, comparing current performance with previous months or the same period last year. Identify trends and discrepancies, and provide insights into potential issues or areas of improvement.

Skills & Qualifications

Experience:

  • 3+ years in project management, with a focus on large public events, festivals, or similar high-visibility initiatives.
  • Proven experience leading end-to-end planning and execution, with a strong focus on timely delivery and quality assurance.

Marketing and PR Expertise:

  • Extensive knowledge in integrated marketing campaigns, from media relations and PR to digital marketing and social media strategies.
  • Hands-on experience in content creation, including copywriting, press release development, and the management of influencer partnerships to boost brand visibility.
  • Strategic thinker with experience in brand positioning, messaging, and public relations that drives audience engagement and media coverage.
  • Ability to analyze marketing trends, competitor activities, and audience insights to optimize campaigns and maintain competitive edge.

Project Management:

  • Exceptional organizational skills, with a demonstrated ability to manage multiple, complex projects simultaneously.
  • Experience using tools to track project timelines, allocate resources, and ensure alignment with objectives.

Leadership and Team Management:

  • Strong leadership skills with the ability to guide, motivate, and manage cross-functional teams in both remote and on-site settings.
  • Proven ability to adapt quickly in dynamic environments and maintain a clear focus on achieving goals under pressure.

Communication:

  • Clear, concise, and persuasive communicator, comfortable engaging with senior stakeholders, clients, and vendors to ensure alignment and expectations are met.
  • Skilled in delivering presentations, reports, and client updates that are data-driven and actionable.

Digital & Social Media Proficiency:

  • Proficiency in social media platforms, digital advertising, and web analytics tools.
  • Familiarity with email marketing platforms and CRM systems.

Design & Presentation Skills:

  • Proficient in Canva for creating visually compelling graphics, marketing materials, and social media content.
  • Expertise in PowerPoint for crafting professional presentations, delivering impactful reports, and conveying strategic insights to clients and stakeholders.

Degree:

  • Bachelor's Degree in Project Management, Business Administration, Marketing, Communications, Event Management, or a related field.
