Role Purpose
The PM / Department Project Manager - Brand & Development Management ensures that the department projects, initiatives, approvals, timelines, meetings, and action plans are properly organized, tracked, followed up, and reported. The role acts as the department coordination and control point, ensuring visibility, accountability, and timely progress across all ongoing projects and priorities.
Key Responsibilities
1. Department Project Tracking and Governance
- Maintain a full tracker of all Brand & Development projects and initiatives.
- Track project timelines, milestones, deliverables, pending approvals, and key decisions.
- Ensure each project has clear ownership, deadlines, required inputs, and next steps.
- Follow up with project owners and stakeholders to ensure actions are completed on time.
- Highlight delays, risks, and bottlenecks to department leadership.
2. PM and Reporting Support
- Prepare weekly and monthly project status reports.
- Maintain dashboards covering project progress, pending actions, risks, approvals, and decisions needed.
- Consolidate inputs from different teams into structured reports.
- Prepare executive summaries for leadership review.
- Support the department in presenting project updates to senior management.
3. Stakeholder Coordination
- Coordinate with internal departments including Finance, Legal, Strategy, Operations, Development, Procurement, HR, and Marketing.
- Follow up on required inputs, approvals, comments, and decisions.
- Ensure cross-functional dependencies are visible and properly tracked.
- Support communication between internal teams and external consultants, agencies, or partners.
- Escalate unresolved items to department leadership when required.
4. Meeting Management and Action Follow-Up
- Prepare agendas for project meetings and departmental follow-up meetings.
- Ensure meeting objectives, required decisions, and pre-read documents are clear.
- Capture minutes of meetings, decisions, and action points.
- Maintain an action log with owners and deadlines.
- Follow up until actions are closed.
5. Documentation and Version Control
- Maintain organized documentation for all department projects.
- Ensure project documents, presentations, business cases, approvals, and trackers are properly filed.
- Manage version control for key documents.
- Support in preparing business cases, management presentations, project summaries, and approval notes.
- Ensure documents are updated and accessible to relevant stakeholders.
6. Risk, Issue, and Decision Tracking
- Maintain a risk and issue log for the department projects.
- Identify delays, unclear ownership, missing inputs, or approval bottlenecks.
- Track decisions required from leadership.
- Prepare decision summaries to support faster approvals.
- Ensure critical items are escalated at the right time.
7. Process Improvement
- Create simple templates for project tracking, action logs, meeting minutes, and status reports.
- Standardize how the department tracks and reports projects.
- Improve visibility and accountability across the department.
- Support a more structured way of working within Business Development and Brand Development.
Required Qualifications:
- Bachelor degree in Business Administration, Management, Project Management, Economics, Hospitality Management, or a related field.
- Minimum 5-7 years of experience in business consulting, project coordination, PMO, business support, departmental project management, or corporate project follow-up.
- Experience in hospitality, real estate, development, branding, consulting, or corporate environments is preferred.
- Project management certification is a plus but not mandatory.
