Job Description

Role: Project Management & Retail Delivery

Location: UAE Projects

Reporting to: Director

Job Purpose:

The primary role of a PM is to oversee the operations of a company's affiliate in a particular country or region. The PM is responsible for carrying out the agreed business strategies and achieving goals for their specific country or region, managing overall delivery of products and services, including resource management and client management, monitoring and reporting on revenue forecasts, and affecting cash flow while maintaining required profit levels by managing costs.

Primary Objectives:

  1. Carry out the agreed Vindico business strategies and achieve goals set for the country or region:

1.1 Understand the monthly, quarterly, and annual strategies provided by the business concerning the operations and growth of the business.

1.2 Facilitate the goals associated with the strategies, ensuring progress and status are reported back to the business regularly per the provided reporting templates or, if no reporting metrics have been developed, create proper reporting methods that provide transparency into operations.

1.3 Break down strategic initiatives as appropriate and delegate to staff, ensuring comprehension at all levels of the business regarding the goals required for that period. Monitor team progress.

1.4 Develop and work on additional business initiatives that can and will be implemented in the future to drive business growth and efficiencies.

1.5 Recognize and maintain industry relationships to identify new business opportunities and collaborate with the head office to secure new business opportunities.

1.6 Maintain client relationships to ensure existing business continuity.

Manage overall delivery of Vindico products and services, including resource management and client management:

2.1 Maintain knowledge of the market and potential opportunities to obtain repeat business or additional services within the current project/portfolio.

2.2 Monitor interaction between the Vindico team, the client, and all stakeholders to ensure a positive professional image is maintained.

2.3 Attend client meetings as the Vindico representative. Identify client pains and potential risks before they become issues and work with the project team to develop solutions.

2.4 Monitor the performance of the Vindico team; provide training, mentorship, and support to encourage continuous professional development.

2.5 Implement a monthly 1:1 structure, providing team members with opportunities to discuss their performance and ongoing development.

2.6 Ensure that all quarterly performance appraisals are completed within the stated timeframe and submitted to the HR team.

2.7 Brief the team on ways to meet client requirements and maintain higher standards of service.

2.8 Ensure the team updates the project details in the VRDnet system regularly. Conduct daily, weekly, and monthly calls and meetings with the teams to ensure project reports are accurate as per project status.

2.9 Responsible for client reporting and maintaining client relationships.

Monitor and report on revenue forecasts and effects on cash flow while maintaining required profit levels by managing costs:

3.1 Create revenue forecasts regularly and track against baseline goals.

3.2 Recognize where adjustments may be required to avoid significant financial impact on the business and alert the business promptly.

3.3 Adopt new or revised cost control measures when required to sustain profitability.

3.4 Manage resource cost basis to ensure target profitability is maintained.

3.5 Monitor invoicing and payment schedules to maintain positive cash flow at all times.

3.6 Review invoices against workload completed to ensure the accuracy of data. Highlight and address concerns in time/resource allocation shown on timesheets before invoicing to ensure clients do not question billing.

3.7 Determine appropriate revenue recognition, ensuring timely and accurate invoicing, and monitoring receivables for projects, including following up with clients, when necessary, regarding unpaid invoices.

Lead the planning, execution, and delivery of Vindico products and services from inception to completion:

4.1 Manage multidisciplinary project teams, including architects, engineers, contractors, and consultants, to ensure project objectives are met.

4.2 Develop and manage project budgets, schedules, and resources to ensure projects are completed on time and within budget.

4.3 Oversee the procurement process, including tendering, contract negotiations, and vendor selection, to ensure that project requirements are met.

4.4 Negotiate contracts, pricing, and terms to maximize value and quality.

4.5 Monitor vendor performance and ensure adherence to project specifications.

4.6 Monitor project progress and performance against established goals and milestones and take corrective action as needed to keep projects on track.

4.7 Coordinate with internal and external stakeholders, including clients, government authorities, and regulatory agencies, to ensure compliance with project requirements and regulations.

4.8 Manage project risks and issues, develop mitigation strategies, and escalate issues as needed to senior management.

4.9 Prepare regular project status reports and presentations for senior management and stakeholders to provide updates on project progress and performance.

4.10 Foster a culture of collaboration, teamwork, and continuous improvement within the project team and across the organization.

4.11 Conduct post-event evaluations to assess the success of the project and gather insights for improvement.

4.12 Document best practices and lessons learned for future projects.

4.13 Contribute to future planning for expansions and developments, aligning strategies with management's vision.

4.14 Promote and maintain the highest standards of Health, Safety & Environmental Management and ethical employment and treatment of internal and contracted workforce.

4.15 Maintain contractual records and documentation and control all contract correspondence, information sheets, status reports, and other documents for all activity streams related to operational technology.

4.16 Undertake several Project Management Activities for projects within the department, including but not limited to scope development, implementation strategies, BOQs, Tender Reports, Weekly Project Status reports, Financial Performance, project completion reports, and Lessons Learned.
