We're looking for a Planning Manager to drive the development, maintenance, and control of comprehensive project plans and documentation, effectively translating complex project streams into accurate schedules, progress reports, and stakeholder communications.
Job Purpose:
Reporting directly to the Program Manager, the Planning Manager serves as a key member of the PMO team, responsible for developing, maintaining, and controlling project plans and documentation. This role ensures effective planning, scheduling, and reporting across all program streams, facilitates collaboration among stakeholders, and upholds project management standards and documentation consistency to support successful program delivery.
Key Responsibilities:
- Reporting directly to Program Manager, this position will serve primarily as the Planning Manager within the PMO team of the Program and also as a documentation specialist and controller
- Planning Manager duties include mainly facilitating updates from the various team members, maintenance and update of project plan, preparing and submission of the progress reports, and maintaining all PMO documents like RAID, Action and Delay logs. To succeed in this role, the individual should be experienced with using MS Project Plan (planning and scheduling tool), excellent written and verbal communication skills, time management and extensive collaboration with external and internal teams to deliver results on deadlines.
- Works very closely with the Program Manager and attends most review meetings with the program manager.
- Responsible for development and maintaining the project plan weekly
- Develops detailed project plan & WBS per stream as required
- Obtains agreement on the plan and dates from all stakeholders partners
- Assists Program Manager in updating and managing internal stakeholders
- Provides the approved plan to all project team members, and Planning support and coordination Manager for on-going maintenance
- Obtains daily/weekly status update from all internal and external stakeholders and reports to Program Manager
- Prepares the weekly progress status reports and fortnightly management review reports
- Responsible for maintaining, updating and submitting the RAID log, and Delay log,
- Develops the weekly/monthly status update (Planned vs Actual) to the Steering Committee members
- Prepares the Minutes the Meeting of the weekly status review meetings
- As a documentation specialist and controller, will be responsible for preparing one-time process documents and distributing to other project members to ensure reporting and process consistency
- Assist the PMO team to control established SLAs (internal and external), project plans, milestones and quality targets.
- Define procedures for project quality reviews, improving, innovating and developing project management processes where necessary.

Qualifications & Experience:
Education:
- Bachelor's Degree in Engineering, Computer Science, Information Technology or a related discipline
Experience:
- Minimum of 7 years proven experience as a Planning and Scheduling Manager within a PMO, specifically supporting complex, multi-disciplinary projects.
- Demonstrated expertise in developing, maintaining, and monitoring comprehensive project plans, schedules, work hours, budgets, and expenditures to ensure project objectives are met.
- Advanced proficiency in MS Office applications, with particular emphasis on MS Project and for planning and scheduling activities.
- Proficiency in Primavera, Jira, Asana, and other tools is plus
- Excellent presentation skills using Microsoft PowerPoint, Canva, google slides, ..etc
- Track record of preparing detailed project plans, progress reports, and project documentation to support effective project management and stakeholder communication.
- Strong ability to perform effectively under time pressure, managing multiple priorities and deadlines in a fast-paced environment.
- Excellent written and verbal communication skills, with experience in collaborating with diverse internal and external teams.
- Experience in maintaining project documentation and logs (RAID, Action, Delay), and ensuring consistency and accuracy in reporting.
- Proven ability to support process improvement initiatives and contribute to the development of project management best practices.
