Role Description

This is a full-time, on-site role for a Purchasing Assistant cum Document Controller, located in Dubai. The role involves coordinating purchasing processes, generating and tracking purchase orders, and ensuring procurement requirements are met efficiently. Daily tasks include communicating with vendors, maintaining accurate records, supporting the team to streamline procurement activities in compliance with company policies, and managing document control to ensure all procurement and related documents are properly organized, updated, and accessible.

Key Responsibilities:

  • Prepare and follow up on Requests for Quotation (RFQs), Purchase Orders (POs), and Purchase Requisitions.
  • Maintain accurate and up-to-date logs of all submittals, correspondence, and procurement documents.
  • Manage document control, ensuring all procurement and project documents are properly organized, updated, and accessible.
  • Coordinate and collaborate with vendors and fabricators to ensure the timely delivery of materials and resolve any procurement issues.
  • Build and maintain strong relationships with vendors, ensuring compliance with quality, cost, and delivery standards.
  • Support internal teams by providing procurement updates, sharing relevant documents, and ensuring smooth inter-departmental communication.
  • Assist in streamlining purchasing processes while ensuring compliance with company policies.

Qualifications & Skills:

  • Experience in purchasing, procurement, or document control, preferably in joinery, construction, or related industries.
  • Strong organizational, record-keeping, and document management skills.
  • Excellent communication, negotiation, and vendor management skills.
  • Attention to detail and ability to work collaboratively across teams.
