About the Role
We are seeking a proactive and detail-oriented Procurement Officer to manage the company's purchasing activities and ensure the timely procurement of goods, materials, and services while maintaining the highest standards of quality and cost efficiency. The successful candidate will play a key role in supplier management, purchase planning, contract negotiation, and inventory coordination to support business operations effectively.
This role requires strong negotiation skills, excellent organizational abilities, and experience working with procurement processes and ERP systems.
Key Responsibilities
- Execute daily purchasing activities based on departmental requirements.
- Source, evaluate, and select qualified suppliers based on quality, pricing, delivery, and service standards.
- Request and analyze supplier quotations to ensure competitive pricing and value.
- Prepare and issue purchase requisitions, purchase orders, and supplier contracts.
- Negotiate pricing, payment terms, delivery schedules, and commercial agreements with suppliers.
- Track purchase orders and coordinate with suppliers to ensure on-time deliveries.
- Build, develop, and maintain strong relationships with existing and potential suppliers.
- Maintain accurate supplier databases, pricing records, and procurement documentation.
- Review supplier invoices and verify them against purchase orders and receiving reports.
- Coordinate with warehouse and inventory teams to monitor stock levels and avoid shortages or overstock situations.
- Resolve procurement-related issues, delivery delays, and supplier performance concerns.
- Monitor supplier performance and recommend improvements or alternative sourcing strategies.
- Prepare periodic procurement reports, cost analyses, supplier evaluations, and purchasing KPIs.
- Ensure compliance with company procurement policies, budgets, and internal control procedures.
- Support continuous improvement initiatives to optimize procurement efficiency and reduce costs.
Qualifications
- Diploma or Bachelor's degree in Business Administration, Supply Chain Management, Logistics, Procurement, or a related field.
- 2–5 years of experience in Procurement, Purchasing, or Supply Chain (depending on the position level).
- Strong knowledge of procurement processes, sourcing, supplier management, and contract negotiation.
- Experience working with ERP systems such as SAP, Oracle, Microsoft Dynamics, Odoo, or similar.
- Proficiency in Microsoft Office, particularly Excel.
- Professional proficiency in English is preferred.
