Job Objective:
To provide efficient front desk, administrative, and facilities support that ensures smooth daily operations, promotes a professional and welcoming environment for visitor and employees, and supports the broader business needs across departments. Business Support Administrator contributes directly to maintaining operational excellence, upholding company policies and representing the organizations values in all internal and external interactions. The role projects a professional image of the company and ensures all visitors and internal staff receive efficient, courteous, and organized support.
Responsibilities:
- Front Desk & Guest Management
- Greet and welcome visitors in a warm and professional manner.
- Ensure all guests register in the Guest Management System, enforcing access protocols and track badge badge return.
- Notify staff of guest arrivals and assist with directions.
- Maintain a clear and professional reception area.
- Respond to employee queries and support requests.
- Arrange transport logistics for employees and guests.
- Monitor and report suspicious activities or emergencies.
- Assist with warehouse entry support.
- Handle mail and courier (incoming and outgoing).
- Manage booking and preparation of meeting rooms.
Telephone & Communication Handling
- Answer, screen, and redirect phone calls professionally.
- Manage general inquiries and rely messages to relevant staff.
- Support Facilities and Other Departments
- Coordinate with contractors for maintenance and repairs (AC, plumbing, electrical, etc.)
- Schedule PPM activities and communicate facility update for minor maintenance activities.
- Maintain the facility calendar.
- Maintain facility records in SharePoint (assets, keys, first aid kits, etc.)
- Conduct and document monthly CCTV audits and quarterly Key Registry Audits.
- Support AMC renewals and maintain contract records.
- Obtain and compare quotes from vendors for supplies and services
- Handle procurement for items such as stationery, snacks, drinkware, furniture, nameplates, etc.
- Raise Purchase Requisitions in IFS, track POs and coordinate with Finance for payments.
- Work with internal teams to coordinate requirements.
- Source venues, compare quotes, and manage vendor communications.
- Oversee end-to-end event logistics including payment follow-ups.
- Provide ad hoc support to departments such as HR, Facilities, Training, Marketing and Projects.
Requirement
- Essential Education Bachelors Degree holder
Experience:
- Minimum of one year experience in front desk, facilities, or administrative support.
- Proficient in Microsoft Office.
