Description
Reception & Front Desk Management
- Greet and welcome visitors, clients, and candidates in a professional and courteous manner.
- Manage incoming phone calls and direct inquiries to the appropriate personnel.
- Handle incoming and outgoing mail, courier deliveries, and parcels.
- Manage visitor registrations and coordinate building access arrangements.
- Ensure reception, pantry, and meeting areas are clean, organized, and presentable at all times.
Office Administration
- Manage office supplies and pantry inventory, ensuring adequate stock levels.
- Liaise with vendors, building management, and service providers on office-related matters.
- Coordinate office maintenance, repairs, and facilities-related requirements.
- Assist in organizing company events, meetings, staff activities, and training sessions.
- Maintain filing systems, administrative records, and company documentation.
- Support onboarding logistics for new hires, including workstation and access arrangements.
- Perform general administrative duties and ad hoc assignments as required.
Meeting Coordination
- Book meeting rooms and coordinate meeting logistics.
- Arrange refreshments and meeting room setup when required.
- Coordinate visitor schedules and external meeting arrangements.
Requirements
- Diploma or equivalent qualification.
- At least 3 years of relevant experience in reception, office administration, customer service, or a related field.
- Fresh graduates with strong customer service and communication skills may be considered.
- Excellent verbal and written communication skills.
- Professional telephone etiquette and strong customer service orientation.
- Strong organizational, multitasking, and time management skills.
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
- Ability to work independently while maintaining a high level of confidentiality.
- Strong attention to detail and problem-solving abilities.
- Positive attitude, professional appearance, and willingness to support a dynamic office environment.
- Strong interpersonal skills and ability to interact effectively with employees, visitors, and external stakeholders.
