Position Summary
The Logistics Coordinator is responsible for coordinating and controlling day-to-day import, export, customs, and shipment activities to ensure products move efficiently, accurately, and on time across the assigned markets. The role requires close follow-up with suppliers, freight forwarders, customs brokers, warehouse teams, brand teams, and internal stakeholders to ensure shipment documents are complete, trackers are updated, delays are escalated, and deliveries are completed as planned. The position plays a key role in improving shipment visibility, documentation accuracy, cost control, and overall logistics execution.
Responsibilities
- Coordinate day-to-day imports, exports, customs clearance, and shipment activities across assigned markets.
- Follow up with suppliers, forwarders, customs brokers, and internal stakeholders to ensure shipments move as planned.
- Review and validate shipping documents, including commercial invoices, packing lists, certificates of origin, certificates of analysis, HS codes, country of origin, weights, carton details, and other required clearance documents.
- Maintain accurate and updated shipment trackers, including RFQ status, forwarder selection, shipping dates, arrival dates, clearance status, delivery status, costs, and remarks.
- Coordinate freight quotations, compare options, and support cost-control initiatives, clearance, storage, and delivery.
- Monitor shipment timelines and proactively escalate delays, missing documents, customs issues, or operational risks.
- Coordinate with the clearance team to ensure regulatory requirements are met and shipments are cleared without delays.
- Support supply chain teams by coordinating shipment handovers, delivery schedules, GRRs, and related documentation.
- Address and resolve shipment, documentation, and delivery -related issues in coordination with relevant departments.
- Maintain proper filing and archiving of all logistics, customs, freight, and shipment-related documents.
- Prepare regular shipment updates, reports, and summaries for management review.
- Support regional logistics projects, process improvements, vendor follow-ups, and any ad hoc logistics-related tasks assigned.
Supervision Required
Receives direct supervision from the Regional Logistics Manager and works closely with internal departments, suppliers, freight forwarders, customs brokers, warehouse teams, and distribution teams to ensure smooth execution of logistics activities.
Qualifications & Requirements
- Bachelor's degree in supply chain, Logistics, Business Administration, or related field.
- Minimum 3-5 years of experience in logistics, import/export, customs clearance, or freight forwarding.
- Knowledge of shipping documents, customs requirements, invoices, packing lists, COO, HS codes, and clearance procedures.
- Strong follow-up skills with suppliers, forwarders, customs brokers, warehouse teams, and internal departments.
- Good Microsoft Office skills, especially Excel for trackers, reports, formulas, and PivotTables.
- Good communication, negotiation, and time management skills.
- Strong attention to detail, especially in documents, reports, and shipment updates.
- Able to solve problems, manage urgent issues, and work under pressure.
- Organized, proactive, and able to manage multiple shipments and deadlines.
