We are seeking a detail-driven and highly organized Remote Records Management Associate to oversee the accuracy, organization, and maintenance of digital records across the organization. As a Remote Records Management Associate, you will ensure that company records are accurately maintained, securely stored, and easily accessible to authorized personnel. You will collaborate with multiple departments to support documentation processes, data audits, and administrative workflows that contribute to operational efficiency and regulatory compliance.
This is a fully remote position requiring strong attention to detail, accountability, and the ability to manage priorities independently.
Key Responsibilities
Records & Data Management
Maintain and update digital records, databases, and document management systems
Ensure records are complete, accurate, and compliant with company standards
Organize and categorize files for efficient retrieval and accessibility
Perform regular audits to verify data accuracy and identify discrepancies
Resolve record inconsistencies and update systems accordingly
Assist in developing and maintaining document retention policies
Administrative Support
Provide administrative assistance related to documentation and recordkeeping
Prepare reports, summaries, and data extracts for internal stakeholders
Support document formatting, proofreading, and version control
Coordinate virtual meetings and maintain related documentation
Assist with onboarding and personnel record updates as needed
Compliance & Process Support
Ensure confidentiality and secure handling of sensitive information
Support adherence to internal policies and data privacy standards
Monitor record lifecycle processes and ensure timely updates or archiving
Collaborate with teams to improve documentation workflows
Recommend process enhancements to increase efficiency and accuracy
Required Qualifications
High school diploma or equivalent (Associate's or Bachelor's degree preferred)
13 years of experience in records management, data entry, or administrative support
Strong typing skills with high accuracy
Proficiency in Microsoft Office or Google Workspace
Excellent attention to detail and organizational skills
Ability to work independently in a remote setting
Strong written and verbal communication skills
