Job Description

Function

To assist in the coordination, documentation, and administrative execution of research projects across DDI. The Research Operations & Project Management Officer provides operational and logistical support, ensuring that project activities, documentation, and reporting are executed in compliance with institutional guidelines and within established timelines.

Responsibilities

  • Support the day-to-day coordination of research operations and project management under guidance of the Acting ROPM Manager.
  • Assist in tracking research proposals and projects to maintain accurate records, documentation, and dashboards.
  • Prepare progress reports, summaries, and meeting minutes/action items to ensure quality reporting on ROPM related areas.
  • Support efforts to maintain and update a streamlined project management platform, ensuring key reporting and monitoring measures are correct.
  • Track research project key performance indicators with Principal Investigators, focusing on the institutional research workplan, milestone progress and projected completion timelines.
  • Facilitate communication among research teams and administrative offices, serving as a liaison between the Research Sector and other DDI sectors when needed to support research operations and project management requirements.
  • Provide administrative and logistical support for committees and internal/external board reviews in coordination with department heads and the CSO Office.
  • Assist in monitoring the Research Sector budget.
  • Maintain adherence to research compliance, institutional policies, and documentation standards.
  • Support project progress updates, reviews processes and data archiving activities.
  • Maintain organized digital and hardcopy filing systems.
  • Contribute to updating project management and research operations templates and checklists.
  • Assist in developing performance dashboards and tracking tools.
  • Provide support to the ROPM Specialists and departmental leadership.

  • Basic knowledge of budgeting, operations, and reporting processes.
  • Understanding of institutional research documentation requirements, compliance and quality control.

Supervisory Responsibilities

None. Works under the direct supervision of the Acting ROPM Manager or assigned Specialist.

Working Conditions/ Physical Requirements

Office-based with regular interaction across departments. May require extended hours to meet deadlines or support reporting cycles.

Minimum Qualifications (Education and Experience)

  • Bachelor's degree in Project Management, Business Administration, or a related discipline.
  • Minimum 2 years of relevant experience in project coordination or research administration.
