We are looking for a proactive and detail-oriented Sales &Logistics Coordinator to join our Operations team. The ideal candidate should have excellent coordination and organizational skills with experience in logistics, shipping documentation, Jebel Ali customs procedures and documentation and customer support. The candidate must be able to work effectively with suppliers, shipping agents, transport companies, warehouses, and government authorities to ensure the smooth execution of customer orders while maintaining high customer satisfaction.
Duties and Responsibilities:
- Prepare and process sales, import/export, and shipping documentation, including Proforma Invoices, Sales & Purchase Agreements, shipping instructions, delivery notes, and other trade-related documents.
- Handle and coordinate customs clearance procedures for import and export shipments, ensuring all required documentation is complete and compliant with customs regulations.
- Coordinate with customs brokers/clearing agents, suppliers, shipping lines, freight forwarders, transport companies, warehouses, and government authorities to ensure smooth and timely clearance, shipment, and delivery of goods.
- Monitor and track shipments from origin to final destination, ensuring timely customs clearance and preventing demurrage, detention, or unnecessary port charges.
- Review and verify shipping, commercial, and customs documentation to ensure accuracy, compliance, and alignment with customer and regulatory requirements.
- Obtain and compare freight, transportation, and insurance quotations to secure cost-effective logistics solutions.
- Coordinate deliveries with customers and service providers, ensuring schedules are met and customer expectations are achieved.
- Resolve customs clearance, shipment, delivery, and other logistics-related issues by coordinating with internal teams, suppliers, clearing agents, and logistics partners.
- Maintain accurate records of import/export transactions, customs documentation, shipping documents, and logistics files for audit and regulatory compliance.
- Provide administrative and operational support to the Sales and Operations teams for the efficient execution of customer orders.
- Ensure compliance with company policies, health & safety standards, and perform other duties assigned by management.
Qualifications
- Minimum 1–2 years of experience in logistics coordination, shipping documentation, import/export operations, customs clearance, or supply chain coordination.
- Hands-on experience in customs clearance procedures, including preparation and processing of customs documentation and coordination with clearing agents and relevant authorities.
- Experience handling shipping documentation, freight forwarding, import/export shipments, and transportation coordination.
- Experience in a trading or manufacturing company is preferred.
