Job Description

Job Summary:

CDHorizon is seeking a detail-oriented and highly organized Sales Support Assistant to join our Business Support team in the UAE. The ideal candidate will play a critical role in maintaining accurate documentation, supporting sales and credit teams, and ensuring proper record management across divisions. This position requires strong attention to detail, confidentiality, and the ability to manage multiple tasks efficiently.

Key Responsibilities:

  • Print, scan, upload, and distribute documents in accordance with company procedures.
  • Sort, store, and retrieve both electronic and hard copies of invoices and invoice acknowledgments across multiple divisions.
  • Review and update documentation for Sales and Credit teams to ensure accuracy and completeness.
  • Maintain and update document completion status reports to track workflow progress.
  • Process and validate document stamping requests across departments, ensuring authorized signatures are obtained and properly archived.
  • Ensure all documentation is accurately updated in the digital archive to maintain a clear audit trail.
  • Establish and monitor document retention timelines in line with company policy.
  • Maintain strict confidentiality of sensitive and financial documents.
  • Coordinate with internal departments to ensure proper handling and accessibility of records.
  • Keep team members informed about updated document versions and access procedures.

Qualifications & Requirements:

Education:

  • Diploma or Bachelor's Degree in Computer Science, Business Administration, Finance & Accounting, or a related field.

Experience:

  • Minimum 23 years of experience in document control, administrative support, or file management roles.

Technical Skills:

  • Proficiency in MS Office applications (Excel, Word, Outlook).
  • Experience with digital archiving systems or document management systems is preferred.

Soft Skills:

  • Strong attention to detail and accuracy.
  • Excellent time management and organizational skills.
  • Ability to multitask and manage deadlines effectively.
  • Strong coordination and communication skills.

Language:

  • Fluency in English (written and verbal).
