About the Job

We are seeking a highly organised and detail-focused Sales Support Executive to act as the central coordination point for our Greece-based Business Development Managers (BDMs) and Sales Development Representatives (SDRs). This role does not involve direct selling. Instead, you will provide strong operational support, maintain accurate reporting, and ensure smooth communication between the sales function and our Dubai operations hub.

You will act as the first point of contact for internal sales-related queries, help the team stay compliant with company procedures, and support the overall performance of the department by ensuring KPIs, documentation, and reporting are consistently maintained.

Key Responsibilities

Coordination & Internal Communication

  • Serve as the main internal coordination link between the Greece sales team and Dubai HQ.
  • Communicate daily with sales, operations, finance, HR, and management.
  • Address general queries related to tools, systems, processes, commissions, and documentation.
  • Escalate issues when required.
  • Relay updates, policy changes, and operational instructions promptly to the sales team.
  • Coordinate internal action points arising from leadership or weekly meetings.

Sales Operations, KPI Tracking & Reporting

  • Track daily and weekly sales KPIs for BDMs/SDRs (activity, pipeline, conversions, targets).
  • Perform regular account management checks and ensure data accuracy in CRM.
  • Maintain detailed performance records, incentive tracking, and commission monitoring.
  • Prepare weekly and monthly reports for management, summarising activity, progress, and risks.
  • Share structured updates during weekly group meetings and ensure follow-up actions are documented and communicated.
  • Support management by providing insights and reliable data for forecasting and planning.

Tools, Systems & Process Support

  • Ensure correct and consistent usage of CRM and sales tools by the Greece sales team.
  • Provide first-level troubleshooting for basic system issues.
  • Liaise with Dubai IT/CRM teams for escalated technical matters.
  • Maintain documentation, process guides, tool manuals, and SOP updates.

Compliance, Organisation & Administration

  • Monitor adherence to internal policies, documentation standards, and sales processes.
  • Maintain organised digital folders, checklists, templates, and files for the sales team.
  • Support onboarding for new sales staff, ensuring smooth access to tools and training.
  • Prepare meeting agendas, summaries, and action lists for weekly sales calls.

Continuous Improvement & Department Support

  • Identify operational gaps and propose solutions to improve efficiency and workflow.
  • Promote disciplined and consistent use of CRM and workflow processes.
  • Support the creation and refinement of departmental SOPs.
  • Assist management in ensuring the team meets expectations around accuracy, organisation, and professional communication.

Skills & Qualifications

  • Excellent organisational, coordination, and multitasking abilities.
  • Experience in a sales support, operational, or administrative role
  • Strong attention to detail with a high level of accuracy in reporting.
  • Experience working with CRM systems and sales workflows.
  • Strong communication skills with the ability to work cross-departmentally and support multiple stakeholders.
  • Proactive, solution-focused mindset with the ability to handle internal queries independently.
  • Strong meeting preparation and follow-up skills (minutes, reports, task tracking).
  • Ability to work under pressure and keep fast-paced workflows organised.
