Reports To: Chief Operations Officer (COO)

Location: Bay Square Business Bay

Employment Type: Full-time

Experience Required
  • Minimum 1 year of experience in a contracting company.

Role Description

We are looking for a highly organized and detail-oriented Secretary / Document Controller to join our team in Dubai. This full-time, on-site role is responsible for supporting daily office operations while ensuring the efficient management and control of project documentation.

Key Responsibilities:

  • Organize, maintain, and update both physical and electronic documents.
  • Manage project files and records in accordance with company document control procedures.
  • Prepare correspondence, reports, meeting agendas, and minutes.
  • Handle incoming phone calls, emails, and general administrative tasks.
  • Schedule meetings and coordinate with internal teams and external stakeholders.
  • Ensure all project documents are accurately filed, easily accessible, and compliant with company standards and project requirements.
  • Maintain confidentiality and professionalism while handling sensitive information.
Requirements
  • Minimum 1 year of experience in a contracting company.
  • Strong organizational and document management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office applications.
  • Ability to multitask and work effectively under pressure.
  • High level of accuracy, attention to detail, and professionalism.
  • Candidates available for immediate joining are preferred.
